General Admin Assistant - NDIS / Healthcare
We are seeking a dedicated Administrative Assistant to support our team during this critical phase. You will play a key role in helping streamline processes, handle client intake, and ensure smooth operations as we get back on track.
Key Responsibilities :
In a nutshell, the admin VA will manage schedules for 20 support workers and 5 participants, oversee timesheets, payroll, and client / stakeholder communications using Microsoft Teams and QuickBooks
Detailed JD :
- Manage and respond to client and stakeholder emails and phone calls professionally and promptly.
- Handle client intake, ensuring all necessary documents and data are accurately recorded and processed.
- Manage bookkeeping, timesheets and payroll.
- Maintain and update internal databases, ensuring all client and business information is
correctly and efficiently entered.
Input and manage client data, services, and compliance requirements.Rostering and scheduling support workers to ensure client needs are met, while managing changes and ensuring efficient coordination.Ensure that all support worker schedules are up-to-date, communicating any changes or updates promptly (via MS teams)Perform various administrative tasks, demonstrating the ability to multitask and prioritize as needed.Assist with coordinating schedules and appointments to ensure smooth day-to-day operations.Provide general support to the team, helping with any tasks required as the company resumes its full operations.Skills and Experience Required :
HARD REQUIREMENTS
Admin / BK with NDIS or healthcare experience in the "Australian" market.Experience in Quickbooks or similar software.Experience in rostering and managing schedules for "support workers" is essentiaLGOOD TO HAVE :
Strong data entry skills with attention to detail and accuracy.Ability to manage rostering and scheduling efficiently.Exceptional multitasking skills with an ability to manage various responsibilitiessimultaneously.
Excellent communication skills, both written and verbal, with a professional phone and emailetiquette.
Ability to work independently as well as collaboratively within a team environment.Requirements
