Work Schedule : 09 : 00 AM to 06.00 PM AEST (07 : 00 AM - 04 : 00 PM PH Time)

We are looking for a highly organized and detail-oriented Legal assistant to join our Wills and Estates team. This role is ideal for someone with a strong background in legal administration tasks. The successful candidate will also work closely with a Senior Legal Assistant and Solicitors in the Wills and Estates practice area, providing administrative assistance to ensure documentation and client matters are managed efficiently and effectively.

What You’ll Do

  • Administrative Assistant to Senior Legal Assistant working in Wills & Estate practice area
  • Maintain and organize legal files, ensuring compliance with regulatory and internal standards.
  • Provide direct administrative support to the Senior Legal Assistant and Solicitors, including calendar management, meeting coordination, taking file notes during conferences between Solicitors and clients
  • Track deadlines and ensure timely submission of draft documentation
  • Liaise with clients and other Estate stakeholders to confirm information, verify details, follow-up receipt of documentation or responses
  • Updating internal management documents
  • Preparing internal case management documentation such as trust journal transfers, authority forms, costs disclosures and tax invoices.

Requirements

What You Bring

We’re looking for someone who :

  • 1-2 years of experience as a Legal Secretary or Legal Assistant, preferably with exposure to Wills & Estates practice
  • Strong knowledge of legal writing, terminology, procedures, and documentation.
  • Proficiency in Microsoft Office Suite and legal management software.
  • Maintains confidentiality and handles sensitive information with care, discretion and professionalism
  • Ensures accuracy in legal and executive documentation
  • Thrives in a dynamic, fast-paced environment and works well with legal, executive, and cross-functional teams.

    Requirements

    Requirements / Skills Needed : Education : Bachelor’s degree in Legal Studies, Political Science, or related. Paralegal certification preferred. Legal Experience : 3-5 years in a paralegal capacity, preferably with an Australian or common-law firm background. Technical Skills : Solid understanding of legal terminology and procedures; proficiency in MS Office and document management systems. Soft Skills : Excellent English communication, organizational agility, problem-solving approach. PEXA (settlement platform) experience. NSW Property Law Experience desirable. LEAP (legal software file management) experience would be appreciated but not essential.
