Flexible, bur ideal working hours overlap with 9 : 00 AM – 5 : 00 PM CT in the U.S.
Overview
We are seeking a highly organized and proactive Marketing and Licensing Administrative Assistant to support our fast-paced marketing and licensing teams. This role is ideal for someone with excellent written and verbal English communication skills, strong attention to detail, and a passion for keeping projects, calendars, and deliverables on track. You’ll play a pivotal role connecting internal teams, external partners, and licensors — ensuring smooth operations and deadlines are met.
Primary Responsibilities
Marketing Operations
Manage communications with internal teams and external partners with a professional and solutions-oriented approach.
Maintain campaign and launch calendars (seasonal, retail, licensing) and track key deadlines.
Oversee deliverables including photography, copy, graphics, and video; ensure files are labeled, versioned, and properly stored.
Update shared folders and Airtable with approved creative assets, archiving outdated versions.
Assist with marketing recaps, monthly scorecards, and tracking metrics such as reach, engagement, spend, and ROAS (basic familiarity is sufficient).
Support photoshoot coordination (shot lists, samples, shipping).
Compile marketing decks for reviews, recaps, and cross-functional presentations.
Proofread marketing materials for clarity, tone, and accuracy.
Assist with PowerPoint updates, formatting, and visual storytelling.
Licensing Coordination
Maintain a licensing tracker for product lines, programs, and timelines.
Submit packaging, product, and marketing assets for licensor approval directly when appropriate.
Track feedback rounds, approvals, and ensure stakeholders are updated.
Organize and maintain brand guides, contracts, and approval documents.
Support new license onboarding (MNDAs, asset requests, brand decks, style guides).
Serve as liaison between internal Creative / Product Development teams and external licensors.
Draft professional status updates summarizing approval progress.
Cross-Functional Collaboration
Collaborate closely with Marketing, Product Development / Creative, Sales, and external licensors, agencies, and vendors.
Act as the communication bridge between teams — summarize discussions, track next steps, and ensure alignment.
Requirements
Exceptional written and verbal English communication skills — clear, concise, professional.
Highly organized, dependable, and detail-oriented; proactive follow-through.
Comfortable using Google Workspace, Airtable, Slack, Excel / Sheets, and shared drives. Quick learners are welcome if not familiar with all tools.
PowerPoint and visual storytelling skills a plus.
Proactive problem-solver who anticipates needs and ensures teams stay aligned.
Ability to work independently, prioritize tasks, and manage deadlines across multiple projects.
Scope :
Work remotely on Central, Eastern, or Pacific Time (U.S.).
Participate in daily 15–20 minute check-in calls with the U.S. team.
Provide weekly updates via Slack or email based on workload.
Respond to messages within 24 business hours.
Maintain a friendly and professional tone in all interactions.
Peak periods or launches may require flexibility in hours; year-round workload varies based on project demands.
Reporting Structure
This role reports to the Marketing and Licensing Manager and collaborates closely with both teams.
Responsibilities may shift depending on project priorities, with time split fairly evenly between marketing operations and licensing coordination, with a slight focus on licensing.
