About Us :

  • Up to 8 hours per day (maximum 40 hours per week)

  • Financial Controller & CEO
  • Supports :

  • Operations, Billing, Payroll, CPA (via Controller)
  • Role Overview :

  • The Bookkeeper is responsible for the accurate, timely recording and reconciliation of all financial transactions across multiple service-based companies.
  • This role is pure execution. You will enter transactions, reconcile accounts, and maintain clean books so the Controller can review, approve, and report on the financials.
  • You are not responsible for financial strategy, KPIs, forecasting, or decision-making. Success in this role is measured by accuracy, completeness, and on-time close support.
  • You will support several founder-led companies :

  • A private-pay home care agency (minimal)
  • A virtual assistant & staffing services company (Heavy)
  • A C-Corp executive management company (minimal)
  • A MMLLC branding and social media management entity (minimal)
  • Core Responsibilities :

    1. Transaction Entry & General Ledger Maintenance

  • Record all financial transactions accurately in QuickBooks Online and / or Wave App
  • Maintain clean, well-organized general ledger accounts
  • Attach supporting documentation for all transactions
  • Follow the established chart of accounts and coding rules exactly
  • 2. Accounts Payable (AP) – Preparation Only

  • Enter and code vendor bills and expenses
  • Maintain vendor records and W-9 documentation
  • Prepare payment batches for approval
  • Track recurring expenses and due dates
  • Flag missing documentation or unusual charges
  • Payments are approved by management or the Controller
  • 3. Invoicing & Payment Processing (Execution Only)

  • Create and issue customer invoices based on approved billing data
  • Ensure invoices are accurate, complete, and sent on time
  • Record and apply customer payments (ACH, check, credit card)
  • Match payments to open invoices and investigate discrepancies
  • Maintain accurate Accounts Receivable aging
  • Flag past-due accounts or billing issues for follow-up
  • 4. Payroll Posting & Labor Cost Tracking

  • Prepare bi-weekly payroll
  • Post payroll journal entries from payroll providers
  • Reconcile payroll clearing accounts
  • Track wages, overtime, bonuses, and reimbursements
  • Allocate labor costs by job, department, and entity as instructed
  • 5. Reconcile All Monies Going In and Out

  • Prepare reconciliations for all cash inflows and outflows
  • Reconcile :

  • Bank accounts
  • Credit cards
  • Payroll clearing accounts
  • Accounts Receivable and Accounts Payable balances
  • Investigate discrepancies and document resolutions
  • Ensure reconciliations are complete, supported, and ready for Controller review
  • 6. Month-End Close Support

  • Complete transaction posting and reconciliations by close deadlines
  • Provide schedules and documentation requested by the Controller
  • Respond promptly to correction requests
  • Follow the month-end close checklist precisely
  • 7. Documentation & Recordkeeping

  • Maintain organized digital records
  • Ensure every transaction has proper backup
  • Assist with CPA requests as directed
  • Follow accounting policies and procedures consistently
  • What This Role Is NOT :

  • Not responsible for financial reporting or dashboards
  • Not responsible for KPIs, forecasting, or budgeting
  • Not responsible for approving reconciliations or financial statements
  • Not a Controller or advisory role
  • You prepare the work. The Controller reviews, approves, and owns the numbers.

    Required Qualifications :

  • 2–4+ years of bookkeeping or accounting experience
  • Strong working knowledge of QuickBooks Online
  • Experience With :

  • AP, AR, and bank reconciliations
  • Payroll posting and clearing accounts
  • High attention to detail and accuracy
  • Comfortable working from checklists and deadlines
  • Strongly Preferred
  • Experience with payroll-heavy or service-based businesses
  • Familiarity with payroll systems (Gusto, ADP, or similar)
  • Experience supporting U.S.-based companies
  • Ability to manage multiple entities simultaneously

  • Compensation :

  • Hourly Rate : PHP300-350 per hour
  • Expected Hours : 4–6 hours per day (20–30 hours per week)
  • Compensation is based on experience, accuracy, and ability to independently reconcile all monies going in and out.
