Virtual Administrative Assistant

Other working titles : Virtual Assistant - Operations Support

We are seeking a highly organized and detail-oriented Virtual Administrative Assistant to support our firm's operations. This role plays a vital part in ensuring a smooth client experience by managing account-related processes, handling documentation, and maintaining accurate records.

The ideal candidate has strong administrative and account management experience, excellent communication skills, and a high level of accuracy when working with forms, client data, and internal systems.

Qualifications / Job Requirements

  • Proven administrative or operations experience, preferably in account management, financial services, or client support
  • Excellent written and verbal English communication skills
  • Strong attention to detail and ability to manage multiple tasks accurately
  • Has experience with CRM systems, document management, and online communication tools
  • Professional, reliable, and able to maintain confidentiality with sensitive information
  • Strong problem-solving skills and ability to work independently
  • Must be available to work Monday to Friday, 8 AM - 5 PM CST
  • Please note that a personality and assessment test is required for this role

Job Responsibilities

  • Support the full lifecycle of client account management, including new account setup, account maintenance, and transfer processing
  • Coordinate and facilitate 401(k) rollovers and account transfers with accuracy and professionalism
  • Complete and process all required forms and documentation promptly and correctly
  • Maintain thorough and organized tracking of account activities and updates
  • Communicate clearly and professionally with clients and internal teams to ensure all requests are handled efficiently
  • Execute trading or transaction instructions as directed, ensuring compliance with firm policies
  • Record all interactions, updates, and notes accurately in the firm's CRM system
  • Provide general administrative and operational support to the team as needed

    Job Title : Virtual Assistant - Administrative and Operations Support

    We are seeking a highly organized Virtual Assistant to support our financial advisory firm with administrative and operational tasks. This includes preparing documents for daily client service meetings, processing post-meeting tasks, managing new account paperwork, and maintaining accurate CRM records. Strong attention to detail, timely task execution, and confidentiality are essential.

    Job Requirements

  • Available Monday-Friday, 8 AM - 5 PM CST
  • Excellent communication skills in English (native speaker or professional proficiency)
  • Experience in account management or administrative operations
  • Strong data entry accuracy and ability to follow compliance-driven processes
  • Experience handling CRMs preferred
