Job Role :   Virtual Assistant with House plans experience (00330)

Work Schedule : This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Compensation range : up to 1,800 AUD / Month

Contract Type : Independent Contractor Agreement; Full-Time; Remote

Role Overview : We are seeking a detail-oriented Virtual Assistant to support the owner with air conditioning projects he receives to design and quote for customers of the business. This role focuses on administrative tasks, data management, and costing, using multiple computer programmes including excel with a key emphasis on understanding and working with house plans. No prior technical experience is required, as training will be provided to the right candidate. This is an excellent opportunity for someone organized, eager to learn, and looking to grow in a supportive environment.

Key Responsibilities :

  • During the training process you will learn to complete these tasks -
  • Receive emails with builders construction plans.
  • Log into our data base where you will set up electronic job files
  • You will load construction house plans, excel spreadsheet & Plandroid into each new file.
  • Perform heat load calculations (zone-based, possibly more detailed if needed), ensure designs meet local performance standards.
  • Use Plandroid to create ducted / split system HVAC designs : drawing plans, scaling floor plans, placing ducts, selecting components, calculating airflow, sizing ducts, etc.
  • Set up / manage input catalogues in Plandroid (supplier parts, fittings) to ensure designs use correct materials and pricing. It is mainly updating, this is already set up
  • Prepare costings using Excel : material take-offs, labour, fixed cost items, vis-à-vis Plandroid cost outputs; reconcile and adjust pricing, labour rates, markup.
  • Produce reports / proposals / quotations via Quotient,  ensure documentation matches Ford & Doonan format.
  • Revise designs following feedback (from builders, site measurement, technical constraints).
  • Maintain version control, ensure clear communication of changes.
  • Liaison with local Perth (the owner) / Admin staff to work through any issues, specification clarifications, compliance (e.g. building & safety codes).
  • Assist the owner with other administrative tasks as required

Requirements

  • Basic understanding of house plans or willingness to learn, for example experience with - Interior design, drafting, Realestate agent, new homes sales person etc
  • Someone who enjoys learning and working with new computer programes
  • Strong computer skills and proficiency with common office software (e.g., Microsoft Office, Google Workspace).
  • Excellent attention to detail and organizational skills.
  • Good communication skills and the ability to work independently in a remote setting.
  • No prior technical or industry experience required; company will provide training.
  • Open to candidates with limited experience who are eager to learn and grow.
