Job Description
Duty 1 : Project Support and Management
- Project Initiation – Leads scope reviews; drives the conversation, provides overview of the team including processes, capabilities and purpose; understands or uncovers the real need for the project; uses technical and business knowledge to have an initial understanding of the value, impact and complexity of the project; leads the gathering, analyzing and clarifying customer requirements; works with technical teams to gauge complexity of the request
- Project Planning – Creates an overall plan for the project (ex : quad charts, project charter); leads the planning of marketing projects with straightforward business rules, high quantity low complexity; plans resource requirements to meet the budget provided by the project sponsor (man hours and materials such as hardware / software); leads planning sessions to create process maps, user journey maps, mock-ups; facilitates prioritization of business-critical requirements; breaks down objectives into phases, milestones or deliverables and cascades them to the team; decides how to handle scope changes by analyzing importance and impact, communicates the decision to stakeholders and negotiates if needed; recommends and negotiates solutions and development timelines to stakeholders and obtains buy-in; analyzes risk and mitigates project circumstances based on impact assessment; leads project milestone and gate reviews
- Project Execution – Facilitates approval of standards and design guidelines and implements them with the team; tracks costs incurred in completing projects and reports changes on forecasted costs and project returns through cost-tracking mechanisms; translates, enhances and consolidates information for decision making by top management; secures commitment on critical deliverables from stakeholders such as marketing and training to align with project launch plans; creates, recommends and seeks approval for marketing tools / projects with technical and design teams; facilitates project review meetings with the Project Team; evaluates and proposes a roadmap of requirements / phased approach; escalates issues and provides recommendations to address them
Duty 2 : Internal Operations Management
Ensures the Service Level Agreements are on targetLeads goal-setting reviews to ensure challenging and stretched goals for the team to support the overall businessAccounts for on-time and proper recruitment to fill job vacancies to maintain service levels and business continuitySubmits period reports on metrics / KPIs / Dashboards to determine performance against the team SLAsPerforms staffing projection, complements work volume growth and forecast; makes necessary proposals to the business unitMonitors schedules of employees to ensure proper shift coveragePlans, assigns and directs work to employees in cooperation with the manager to manage workload and projectsAnalyzes, explains and addresses variances between current and target performanceImplements policies on filing, documenting and approving time and attendance administrationIdentifies and documents changes in roles, responsibilities, accountabilities and workload to determine volume headcount ratio and work scopeDuty 3 : Staff Management and Development
Evaluates individual performance and conducts performance discussions to keep everyone on trackPerforms regular coaching to enhance staff performance and participation in decision makingAdheres to regularization, performance appraisal, quarterly performance appraisal, rewards and recognition and other people-related policiesDetermines employee capabilities and improvement areasIdentifies training and development needs of employees to support team goals and objectivesCompletes individual development plans and implements agreed training / development activitiesPlans, organizes, and coordinates team activities to enhance team camaraderie and employee engagementMonitors adherence to ethics and code of conduct and implements disciplinary action in compliance with due processDuty 4 : Internal Communication
