Job description

This is a remote position.

KEY RESPONSIBILITIES:
  • Manage complex calendars schedule meetings coordinate appointments and organise executive travel.
  • Provide dedicated support to the Director including calendar management correspondence preparation of materials and administrative coordination.
  • Draft edit and proofread professional correspondence reports presentations and executive documentation.
  • Prepare maintain and update file notes records and executive documentation to ensure accuracy and accessibility.
  • Serve as liaison between the Managing Director staff clients external partners and regulatory contacts.
  • Track and follow up on action items meeting outcomes and deliverables to ensure timely completion.
  • Coordinate preparation and distribution of meeting agendas minutes and briefing notes.
  • Maintain confidential data information and documentation with integrity and discretion.
  • Support operational activities as required including compliance documentation CRM updates and cross-departmental tasks.
  • File note creation and management.



Requirements

  • High attention to detail.
  • Proactivity initiative and standard office software proficiency (Word Excel).
  • Proven experience as an Executive Assistant Senior Administrative Assistant or similar role supporting senior leadership in professional services.
  • Exceptional verbal and written communication skills with a strong command of professional business language.
  • Advanced organisational skills and ability to manage competing priorities and deadlines.
  • High level of discretion professionalism and confidentiality in handling sensitive information.
  • Strong interpersonal skills and client-focused mindset.
  • Ability to work independently anticipate needs and take initiative to support the executive and broader team.
