About the Role
We’re hiring a Bookkeeper & Executive Assistant to the CEO for a Colorado-based construction and development firm. This role blends financial management and operational support , ensuring smooth, accurate, and compliant business operations. You’ll work directly with the CEO, accounting partners, and local authorities—playing a key part in keeping projects organized, compliant, and on track.
What You’ll Do
Bookkeeping & Financial Management
- Manage full-cycle bookkeeping in QuickBooks for the construction and development firm
- Reconcile and categorize a high volume of transactions with precision and consistency
- Prepare monthly financial reports and assist with FP&A alongside external accountants
- Support tax preparation, audit coordination, and compliance processes
- Process payroll via Gusto and maintain accurate employee and vendor records
Operations Coordination
Liaise with local government offices for permits, plan sets, and document submissionsManage workers’ compensation audits, insurance renewals, and vendor compliance documentationMaintain well-organized digital systems for financial, operational, and compliance filesExecutive Support
Work directly with the CEO to manage schedules, correspondence, and project documentationCoordinate communication with partners, vendors, and key stakeholdersProvide reliable administrative support to ensure seamless day-to-day operationsSystems & Light Marketing

Highly organized and detail-oriented professional with strong bookkeeping and administrative skillsCertified QuickBooks user, experienced in managing large transaction volumesProactive problem-solver who thrives in independent, remote environmentsComfortable handling payroll, audits, and financial reporting with minimal supervisionExcellent written English communicator, confident when liaising with executives and external partnersRequirements
3+ years of full-cycle bookkeeping and accounting experience1+ year managing financial operations for construction, real estate, or professional services (preferably for U.S.-based clients)Certified QuickBooks user with proven technical proficiencyPrior experience supporting C-level executives with high attention to detail and integrityStrong English communication skills (C1 level or higher)Bachelor’s degree in Accounting, Finance, Business, or related field (academic honors or scholar status preferred)Preferred Backgrounds
