Job Description
This is a remote position.
Support the accountants, managers and partner in all administration functions.
- Set up new clients in the practice management, client accounting and tax software, ledger and on the ATO Portal.
- Lodgement of tax returns, BAS, IAS and other documents with the ATO and other government agencies as needed.
- Request, receive and triage ATO correspondence and reporting (via ATOmate), ensuring timely escalation / closure and accurate filing to client records.
- Process and reconcile ATOmate queues (exceptions, failures, and rule-based escalations); maintain templates / rules to improve hit rates and turnaround.
- Assist with maintaining the teams’ APS database
- Apply for / lodge TFN, ABN, GST and PAYG withholding registrations
- Email all ASIC lodgements to clients for signature (excluding annual returns) using CAS 360, including company registrations, shares transfers, shareholders, company address and name updates, de-registrations, minutes, share certificates and other complex lodgements and annual returns
- Preparation and dispatching clients’ daily correspondence and documentation
- Collating, scanning, filing and archiving documentation
- Preparation of invoices, assisting with receipts and debtor statements
- Effective management of team calendars; scheduling appointments and taking action items from team meetings
- Undertake general administrative tasks for the team, answer phone calls, attend to mail / email and electronic filing of clients’ records, preparation of statutory documents for companies, maintenance of minute books, and other statutory records for companies.
- Oversee maintenance of office equipment including photocopier, waste and sensitive paper disposal, dishwasher and other equipment
- Updating and maintenance of administrators processes and procedures information guidelines
Requirements
Previous administration experience in accounting and tax is desirable but not essential.Knowledge of administrative software and processes.Experience with CAS 360 (BGL) for company secretarial / ASIC lodgements.Experience with ATOmate for automated ATO correspondence management and workflow.Excellent communication skills. including the ability to liaise clearly and professionally with internal staff and external stakeholders (e.g., ATO, ASIC, clients, and suppliers).Able to undertake researchHigh level attention to detailProactive, consistent administrative support to teamBenefits
