You’ll be at the heart of operations — coordinating schedules, communicating with clients, and ensuring that every project begins seamlessly and runs without a hitch.
Because this is a client-facing role that involves regular phone and video communication with U.S.-based clients, we’re looking for someone with clear, neutral English communication skills and a professional, confident phone presence .

Key Responsibilities
Manage phone and email communication, ensuring timely and professional client interaction.
Coordinate with clients, vendors, and internal teams to set up and support ongoing projects.
Oversee the production inbox and respond promptly to operational needs.
Track project milestones and maintain accurate updates in project management tools.
Create, manage, and distribute key documentation — including work orders, schedules, and client updates.
Serve as the main client contact prior to project launch, then transition communication to the project manager.
Schedule and confirm projects, ensuring all materials, resources, and personnel are in place.
Collaborate with the sales team to transition projects smoothly from proposal to production.
Resolve scheduling conflicts and operational issues quickly to avoid delays.
Perform final quality assurance checks on project data and documents prior to kickoff.
Qualifications & Experience
2+ years of experience as a Project Coordinator (preferably in construction, contracting, or field services).
2+ years of scheduling experience with multiple concurrent projects.
Strong organizational and multitasking abilities in a high-volume environment.
Exceptional written and verbal communication skills.
Excellent command of English with a neutral, client-friendly tone for phone and video interactions.
Tech-savvy and comfortable working within project management and scheduling tools.
