As the Leasing Coordinator, you'll be responsible for ensuring the accuracy of lease agreements while ensuring units have the highest possible occupancy rate by managing the company’s social media presence for rental ads. Additionally, you'll assist with lease creation and signing, work with a local representative to coordinate move-in and move-out inspections, and post available rentals on various platforms. Coordinating property viewings, tenant reference checks, and providing support during the first 30 days of tenancy are crucial aspects of your role, ensuring smooth transitions for both tenants and property owners.
Job duties :
Act as the company’s first point of contact with any new tenant and work with a primary contact in the local market to schedule appointments and viewings
- Ensure leases, agreements, and statements are accurate and accounted for
- Assist with collecting rent payments from delinquent tenants
- Create and sign leases for approved tenants
- Manage the collection of security deposits at the move-in process
- Schedule all move-in and move-out inspections, add results of inspection to Buildium
- Complete Form 5 move-out inspection with tenant and have tenant sign move-out inspection
- Send a final report of the move-out inspection to the Director of Properties, with details on how much, if any, damage has occurred, and what the cost of replacement and or repairs would be. Work with the maintenance team to formulate final costs of repairs and cleaning. Must be done within 10 days of moving out
- Post all available rentals on Kijiji and Facebook Marketplace once they’re live on Buildium
- Respond to all social media rental inquiries
- Coordinate out-of-market property showings with territory-based managers
- Schedule cleaners between move-in and move-out periods
- Complete tenant reference checks
- Provide property management support for the first 30 days of tenancy for all new tenants
- Send a welcome letter to all new tenants
- Assist tenants with setup in the tenant portal, communicate maintenance request procedure, and other required setup information
- Run lease-end report each month
- Notify the Office Administrator of all lease ends to ensure the pre-move-out maintenance inspection has occurred
Requirements
1. Education and Experience :
High school diploma or equivalent; additional coursework in property management or a related field is a plus.Proven experience as a Leasing Coordinator or in a similar role within the real estate industry.2. Software Proficiency :
Proficient in property management software such as Jobber, Buildium, and QuickBooks.Experience in using these tools for lease creation, rent collection, and property management tasks.3. Lease Administration :
In-depth knowledge of lease agreements, statements, and documentation processes.Experience in creating and signing leases for approved tenants.4. Rental Marketing :
Familiarity with marketing rental properties on various platforms, including Kijiji and Facebook Marketplace.Ability to manage social media presence for rental ads, respond to inquiries, and coordinate property viewings.5. Tenant Interaction :
Strong communication skills with the ability to serve as the first point of contact for new tenants.Experience coordinating property viewings and conducting tenant reference checks.6. Inspection Coordination :
Knowledge of move-in and move-out inspection processes.Ability to schedule and complete inspections and update results in property management software (Buildium).7. Administrative Skills :

Elevate and Delegate is not involved in processing your payroll. Your salary will directly go to you.Vacation Leaves and Holidays : While we may have recommendations or guidelines regarding vacation leaves and holidays, the decision is entirely at the discretion of the client. You are expected to align your schedule with the client's business needs and any specific policies or preferences they may have in this regard.Salary : $900 - $1200
