This is a remote position.
Key Responsibilities :
Patient Intake & Triage
Manage inbound patient referrals through BrightTree and partner systems
Accurately enter and verify demographic and insurance information
Apply clinical triage protocols based on CPAP / CCM compliance metrics
Assign patients to appropriate clinical personnel based on decision trees
Medical Data & System Management
Reconcile patient information between EMR systems and internal platforms
Upload daily compliance reports and maintain accurate logs
Ensure HIPAA-compliant data handling and documentation
Reporting & Documentation
Maintain clear, structured, and real-time documentation of all transactions
Contribute to internal SOPs and process documentation (Playbook)
Provide support in developing efficient workflows and compliance tracking
Operational Workflow Execution
Process 50–80 patient referrals per day, ensuring speed and accuracy
Manage tasks across multiple systems and tools
Communicate effectively with internal teams for issue resolution or clarification
Required Qualifications :
2+ years experience as a Medical Virtual Assistant or in a clinical admin role
Strong command of Microsoft Excel and Google Sheets
Experience with high-volume data entry and triage workflows
Excellent written English and attention to detail
Highly organized and capable of self-management in a remote setting
Requirements
Preferred Qualifications :
Experience in sleep therapy, CPAP / DME workflows
Background in medical office or clinical operations (non-licensed acceptable)
Exposure to insurance verification and intake tools
Experience using CRMs or medical workflow platforms
Familiarity with EMR systems (e.g., BrightTree or similar platforms)

Exceptional attention to detail and data accuracy
Proficient in Microsoft Excel and capable of generating and interpreting reports
Strong organizational and multitasking skills to manage high-volume workflows
Fast learner with excellent tech adaptability across multiple platforms and systems
Independent and process-driven work ethic, with a strong sense of accountability
Comfortable working remotely with minimal supervision in a collaborative team environment

Qualifications & Skills Extremely organized and detail-oriented – thrives in structured environments Process-driven – comfortable following and improving SOPs Fluent in Excel (Pivot Tables, VLOOKUP, formulas, filtering, etc.) At least 2–3 years of experience in operations, admin, or systems support Strong written communication skills; clear and professional documentation is key Familiar with QuickBooks, Google Workspace, and CRM / project tools like Monday.com (preferred) Background in healthcare, billing, or BPO is a plus, but not required Comfortable working independently while collaborating with U.S.-based leadership
