Schedule : Monday to Friday, 8 : 00 AM – 5 : 00 PM (Sydney, NSW)
Break : 1-hour unpaid
Total Weekly Hours : 40 Hours
Our client is seeking a detail-oriented and proactive Personal Assistant to support their agency team with candidate sourcing, onboarding, shift management, and general administrative tasks. This role is ideal for someone with excellent communication skills, strong multitasking abilities, and a focus on accuracy and compliance.
Key Responsibilities
Source and onboard new candidates to join the agency team.
Prepare candidate submission packs for client review.
Submit candidates to appropriate client roles and opportunities.
Manage incoming shift requests from portals, emails, calls, and account managers, posting shifts to Deputy and taking proactive steps to fill them.
Prioritize and resolve cancellations and absence logs.
Notify account managers of any direct client shift requests received outside portals.
Contact candidates via phone, email, SMS, and Deputy to fill open shifts.
Book candidates on rosters and client portals, confirming bookings with both candidates and clients.
Reconcile bookings and cancellations across Deputy and client portals to ensure accuracy.
Update and follow up on candidate availability to keep records current.
Perform ad-hoc administrative tasks as needed.
Requirements
Experience in recruitment, rostering, or workforce coordination preferred.
Strong organizational and multitasking skills.
Excellent written and verbal communication abilities.
Proficiency with rostering systems (e.g., Deputy), client portals, and MS Office tools.
High attention to detail and accuracy.
Ability to work independently in a fast-paced environment.
