This is a remote position.
We are seeking a highly organized and proactive Administrative and Executive Support professional to assist our client, Senior Vice President (SVP), in managing daily operations, communications, and coordination across multiple business functions. This role is ideal for someone who thrives in a dynamic environment, can anticipate needs, and ensures seamless execution behind the scenes.
Key Responsibilities
Email & Communication Management
Manage and organize the SVP’s inbox—prioritize, respond, and follow up on critical communications.
Draft, proofread, and send professional correspondence while maintaining tone consistency and confidentiality.
Track pending messages and action items, ensuring timely completion.
Identify and flag urgent or client-sensitive communications.
Utilize Google Workspace tools with expert proficiency.
Administrative & Executive Assistance
Manage the SVP’s calendar, appointments, and meetings across time zones.
Prepare meeting agendas, take minutes, and circulate actionable summaries.
Maintain well-organized digital files and records.
Assist in creating reports, presentations, and internal documentation.
Conduct online research and compile data to support executive decisions.
Handle confidential information with utmost discretion.
Operations & Coordination
Coordinate with internal departments and external partners to support daily operations.
Monitor ongoing tasks and projects, ensuring deadlines are met.
Assist with HR and administrative functions such as timesheet tracking and document updates.
Recommend and implement process improvements for operational efficiency.
Requirements
Qualifications
Bachelor’s degree in Business Administration, Management, or related field.
At least 3 years of experience as an Executive Assistant, Administrative Officer, or similar role.
Excellent written and verbal communication skills.
Strong organizational skills and attention to detail.
Proficient in Google Workspace (Gmail, Docs, Sheets, Calendar, Drive) .
Ability to handle confidential matters and work independently under minimal supervision.
