This is a remote position.

Schedule :

  • Mondays to Fridays, 7 : 00 am to 3 : 30 pm (Australia) Flexible during business hours
  • Par time position 4 hours per day

Job Description :

Step into a versatile Administrative Assistant role where you’ll be the organizational backbone of a thriving construction business. This position offers the perfect blend of traditional administrative duties, industry-specific tasks, and creative social media management. You’ll work directly with the business director, helping transform a hands-on operation into a well-organized, efficient company. From managing construction software and reviewing important contracts to handling social media presence and personal scheduling, this role provides variety, autonomy, and the satisfaction of seeing your contributions directly impact business success. You’ll have the flexibility to work remotely while being an integral part of a growing team that values practical solutions and personal touch.

Responsibilities :

  • Manage data entry and financial records using BuildExact construction software
  • Review and analyze business contracts and documents, summarizing key points from lengthy agreements (up to 45 pages)
  • Handle email correspondence, follow-ups, and communication management
  • Track invoices, manage due dates, and maintain organized calendar systems
  • Create and maintain to-do lists and task management systems
  • Provide social media support including content posting, basic editing, and community management
  • Respond to client inquiries across social media platforms
  • Perform basic bookkeeping tasks and maintain financial records
  • Coordinate personal appointments, travel arrangements, and family scheduling
  • Support general office administration and clerical tasks
  • Assist with document preparation and business correspondence
  • Requirements

  • Previous experience in administrative roles with strong data entry skills
  • Familiarity with construction industry software (BuildExact experience highly preferred)
  • Basic bookkeeping knowledge and experience with financial data management
  • Social media management experience with content creation and editing capabilities
  • Excellent written and verbal English communication skills
  • Strong document review and summarization abilities
  • Experience with calendar management and organizational systems
  • Reliable internet connection and professional home office setup
  • Ability to work independently with minimal supervision
  • Flexibility to work during Australian business hours
  • Philippines-based candidates strongly preferred for optimal timezone alignment
  • Comfortable handling both business and personal administrative tasks
