Virtual Rockstar is hiring a full-time Medical Virtual Assistant on behalf of our client, a high-performing, multi-location physical therapy practice serving patients across California and Nevada.
This role is heavily focused on insurance benefit verification and medical records management within a fast-paced, high-volume environment. The ideal candidate is detail-oriented, efficient, and able to maintain accuracy while handling repetitive, high-output tasks.
This is a critical role that directly supports patient access to care by ensuring insurance information is verified quickly and correctly, allowing the clinical team to operate at full capacity.

Responsibilities
Insurance Verification & Benefits Processing (Primary Focus)
Perform high-volume insurance benefit verifications with speed and accuracy
Review and document coverage details including eligibility, limits, and requirements
Utilize insurance portals and payer websites to gather accurate information
Maintain clear and consistent documentation of benefits for internal team use
Liaise with insurance providers to clarify coverage details when needed
Assist with patient inquiries related to insurance coverage
Medical Records Management
Process and manage medical records requests
Ensure timely retrieval and delivery of patient documentation
Maintain organized and compliant patient records
Support internal teams with documentation needs
Administrative & Patient Support
Respond to patient inquiries via phone and email
Maintain accurate patient records within the EMR
Assist with general administrative workflows as needed
Support a high-functioning administrative team with daily operational tasks
Scheduling & Coordination Support
Assist with appointment confirmations and patient communication
Support scheduling coordination when needed
Maintain waitlists and help ensure efficient patient flow
Tools & Systems
The practice currently uses:
Google Workspace (including Google Chat)
Raintree (EMR)
Weave (phone and communication system)
Square
Waystar
Availity and other insurance portals
Candidates must be comfortable navigating multiple systems efficiently.
Requirements
Previous experience as a Medical Virtual Assistant, Insurance Verification Specialist, or Medical Administrative Assistant
Strong experience with insurance verification and payer portals
Ability to handle high-volume, repetitive tasks with accuracy
Strong attention to detail and organizational skills
Excellent written and verbal communication skills
Comfortable working in a fast-paced, team-oriented environment
Ability to learn systems quickly and adapt to workflow demands

RequirementsPrevious experience in a medical administrative role (medical assistant, medical receptionist, or similar) is preferred. Familiarity with WebPT EMR and Therabill for patient payment posting is a plus. Strong communication skills, both written and verbal. Ability to manage multiple tasks and prioritize effectively. Excellent organizational skills and attention to detail. High level of professionalism and commitment to maintaining patient confidentiality. Comfortable with remote work and proficient in using virtual communication tools. Knowledge of insurance verification and pre-authorizations is a plus. Ability to work collaboratively with a team and contribute to a positive patient experience.
