Objectives :
Support the Sales team to achieve their objectives. Carry out tasks in an efficient manner, ensuring all documentation and processes are performed in line with best practice, in order to ensure company revenue targets are achieved
Authorities :
- Authority to build vehicles as requested by Sales Manager, General Manager – build sheet to be signed by one of the two authorised prior to build
- Authority to swap new vehicles
- Authority to create purchase orders for details, repairs or gifts, otherwise amounts over $1000 to be referred to management
Performance Measures :
An annual performance review will be conducted to determine performance of staff member to position requirements against agreed KPI’s as discussed and agreed with management.
Key KPI’s include :
Inventory management completed in line with Audi Operational StandardsPurchase orders processed at time of requestStock vehicle registration completed 30 days prior to expirationCustomer centric approach to customer complaintsDuties and Responsibilities :
Secure stock for deals from other dealers in a timely mannerRegularly monitor stock to ensure stock is allocated according to customer required delivery datesEnsure customers are allocated to vehicles in both internal and manufacturer systemsRaise repair orders / purchase orders for any additional work requiredEnsure all ordered vehicles are loaded into internal system to allow visibility to sales staffMonitor and achieve departmental KPI’sComplete RDA via Manufacturer portal within required timeframeEnsure completion and copy of ODIS report is included in Deal Pack for all RDA vehicles within Manufacturer timeframeAll information is updated accurately on Company DMSAny paperwork queries or inconsistencies are escalated to the General Sales Manager or Sales ManagerEnsure all customer records and sales data are up to date and maintained, accurate and complete in accordance with company guidelines to meet both internal and external reporting requirementsEnsure the internal price book is kept up to dateEnsures stock is kept to 45 days’ supplyRaise repair orders / purchase orders for any additional work requiredBook all vehicles into stock promptly and accuratelyReport sales volumes in manufacturer websiteMonitor and achieve departmental KPI’sProvide dealership and manufacturer reports on time and in fullProvide regular feedback to team membersEnsure new and used vehicles are registered when requested with all paperwork completed with correct documents in the deal folder prior to vehicle registrationEnsure vehicles are transferred in a timely manner with transfer paperwork to be given on day of deliveryAll work is to be carried out at a standard in line with Services NSWPayments made to Services NSW are posted to the general ledgerEnsure the timely and accurate submission of all work to Services NSWMaintain a sound knowledge of all dealership products and servicesTo accept instructions with regards to work practices and employment conditions from senior staffMaintain product knowledge and ensure the use of most relevant and up-to-date informationRoutine problems identified during the course of work are to be solved with unusual problems referred to managementAttend internal and manufacturer information sessions and training courses to maintain and improve industry and product knowledge and enhance individual skills.Communicate to internal and external stakeholders in the appropriate mannerAssist other staff members as required and within abilitiesAct in a manner consistent with branding expectationsIdentify areas of improvements and contributes with positive suggestionsUse initiative and is pro-activePerform other duties as requested by ManagementStock SwapNADIN finalisationAccounting and Floorplan finalisationERA finalisationStock Build
