OVERVIEW :
ROVR is seeking a highly organized and proactive Recruitment Operations Coordinator to support our end-to-end recruitment process—from client onboarding to final candidate placement. This role is essential in driving efficient, accurate, and timely execution of recruitment activities while ensuring a positive candidate and client experience.
The ideal candidate must have extensive experience in candidate sourcing across multiple platforms (e.g., Facebook, Indeed, LinkedIn, job boards, and freelance groups) and a working knowledge of Boolean search techniques. You will help enable faster, higher-quality recruitment by managing systems, coordinating interviews, and ensuring that every step of the process is well-documented and executed.
JOB DESCRIPTION / RESPONSIBILITIES :
I. Client Onboarding & Information Management
Collect and document job details from clients, including technical requirements and preferred qualifications.
Maintain updated records in Google Drive and the Hiring Roles and Sourcing Profiles Database .
II. Recruitment Planning
Research salary benchmarks and industry standards using online tools.
Use ChatGPT to create sample job posts or briefs based on client needs.
Recommend sourcing strategies based on urgency and role type.
III. Candidate Sourcing
Extensively source candidates via :
Facebook groups, LinkedIn, Indeed, and freelance platforms
Referrals, Boolean search, and candidate re-engagement
Create and post job ads using Zoho and Canva .
Respond to candidate inquiries and track sourcing activity.
Maintain up-to-date sourcing and candidate tracking databases.
IV. Screening & Candidate Communication
Review application materials and conduct phone screenings.
Track applicant status in Zoho and ClickUp .
Send out interview invites, follow-ups for missing documents, and rejection emails using templates.
Collect and log character references.
V. Interview Management & Endorsement
Prepare interview folders and ClickUp cards for endorsed applicants.
Schedule interviews with the internal team and CEO.
Ensure all required documentation is complete before endorsement (e.g., resume, DISC, reference checks, test outputs).
VI. Client Interview Coordination
Schedule interviews with clients and confirm candidate availability.
Share candidate packets with clients before interviews.
Join client interviews and update systems with interview outcomes.
Coordinate onboarding for successful hires and send rejections to non-selected candidates.

Requirements
BASIC QUALIFICATIONS :
We are looking for someone who has :
2+ years in recruitment operations, recruitment coordination, or HR support
Proven experience in multi-platform candidate sourcing
Comfortable using ATS tools (Zoho or equivalent) and task management systems (ClickUp)
Strong written and verbal communication skills
Detail-oriented, organized, and deadline-focused
Proactive, coachable, and capable of working independently in a remote environment
