We are looking to hire a Procurement Officer – Administration to support our procurement and logistics operations, primarily focusing on administrative tasks while also assisting with day-to-day procurement activities as needed.
The ideal candidate should have the following responsibilities and qualifications:
Key Responsibilities:
Maintain accurate and up-to-date shipment schedules for all purchase orders
Track supplier dispatch dates, transit times, and estimated arrival dates
Compile regular shipment status reports (daily, weekly, or monthly as required)
Identify and report delays, early deliveries, or changes to shipment schedules
Liaise with suppliers, freight forwarders, and internal stakeholders to confirm shipment details
Update internal systems (ERP, spreadsheets, or tracking tools) with shipment information
Reconcile shipment data against purchase orders and delivery documentation
Escalate risks impacting delivery timelines to procurement or operations teams
Prepare summary reports highlighting on-time delivery performance and exceptions
Support procurement team with ad-hoc shipment and logistics reporting requests
Ensure documentation accuracy and compliance with internal reporting standards
Maintain organised records of shipment schedules and correspondence
Perform general procurement and administration tasks as required
Candidate Requirements:
Responsible and proficient in Excel
Experience with ERP systems
Strong organisational and communication skills
Ability to liaise with internal teams, suppliers, and other stakeholders
