How You'll Shine

  • Thorough understanding of company/department policies and procedures, as well as Club Wyndham South Pacific Club guidelines and regulations

  • All operational aspects of the booking process

  • Sound knowledge of the Exchange Process and Exchange options provided by the club

  • Ability to answer questions and complete general trouble shooting for Owner Services Representatives.

  • A complete understanding of hotel/resort inventory and reservations. Ability to create and manage hotel/resort inventory within a reservations program, including room classifications, room specifications, occupancy limits, and amenities.

  • Managing the room allotments within multiple hotels/resorts to support Club and Associate Resort availability and to support other rental agreements for Club rooms, including room release-back agreements.

  • Scheduling deep clean and refurbishment programs for multiple resorts.

  • Overseeing inventory and room allocation changes needed due to room/resort maintenance issues.

  • Liaising with other relevant stakeholders (in particular the Market & Intelligence and Resorts) in relation to reconciliation of exchange time, managing Resort inventory and arrivals.

  • Collation and summarization of data for month-end processes.

  • Training of new Inbound Owner Services staff on Inventory related matters, policies and procedures.

  • Complete understanding and efficient use of the Reservations and Inventory program utilised by the department (IRIS) with some accountability for the Sales and Exchange accounts.

  • Accountability for debt generation and recovery in relation to any exchange products.

  • Assisting in the notification and possible compensation or relocation of existing reservations during periods of disruption to owners’ stays at resort, complete resort/room/amenity closure, delayed acquisition of property or other extra-ordinary event.

  • Assisting with the processing of Staff booking enquiries.

  • Managing the room allotments within multiple hotels/resorts to support Club and Associate Resort availability and to support other rental agreements for Club rooms, including room release-back agreements.

  • Being an ambassador for Inbound Owner Services department and work confidently with other senior company staff, managers and members of the executive team.

  • Adhere to all policies and procedures relating to Workplace Health and Safety ensuring the safety of yourself and all other people who may be effected by your conduct in the workplace.

  • Display a Count On Me! service to all internal and external parties, including conversations with Club Wyndham owners.

  • Display innovation through inspiring, creating and improving processes and products.

  • Show integrity in all aspects of the position by doing the right thing, taking responsibility and delivering on the promise.

What You'll Bring

  • At least 6 months of prior experience in Club Wyndham Owner Services and previous use of the IRIS

  • Relevant experience in a similar role is preferred, within the exchange/timeshare industry with prior use of reservations/travel booking programs and inventory allotments.

  • Demonstrated knowledge of how to leverage positive inventory exchanges to the benefit of Club Wyndham South Pacific Club is preferred.

  • Outstanding customer service skills. A genuine enthusiasm in the Club Wyndham product and helping facilitate exceptional and personalised service for the Exchange groups.

  • Excellent verbal and written communication and professional telephone manner. Enjoy conversing on the phone, with the ability to actively listen, problem solve, and communicate with customers and fellow staff in a professional and courteous manner.

  • Practiced time management skills with the ability to multi-task and priotise.

  • A positive demeanour contributing to a positive team environment. Ability to take the initiative to represent the staff and department, willing to go “Above and Beyond” for colleagues and owners.

  • Ability to work autonomously in a fast paced environment, under pressure and cope with stressful circumstancesand ahigh volume of daily tasks and responsibilities

  • Strong attention to detail with accuracy of information and the ability to thoroughly document all processes.

  • Advanced knowledge of Microsoft Office programs, particularly MS Excel, but also including Access, Word & Outlook. Preferred minimum typing speed of 65 wpm.

  • Willingness to work shifts as required by the department. Ability to partake in training and staff meetings during and after business hours if required.

  • Excellent problem solving skills with the abiity to think “outside the box” and deliver creative solutions
