Executive Assistant

In accordance with the policies, procedure and standards of Chroma Hospitality and Grafik Pine House Baguio As the Executive Assistant, your role is essential to our organization. You will directly support the General Manager and other senior executives. Your responsibilities go beyond simple administrative tasks. You will bridge the gap between executives and teams, ensuring smooth communication, coordination, and productivity.

On top of that, you will help the GM manage their time, plan strategic meetings, and address daily challenges that can impact organizational goals.

1. Calendar Management - Efficiently schedule, coordinate, and synchronize multiple calendars to avoid conflicts, with time-blocking for optimal productivity
2. Communication Management - Craft professional emails, express ideas confidently in meetings, and provide or seek constructive feedback.
3. Task & Project Management - Plan and prioritize tasks and projects, ensuring deadlines are met while collaborating effectively with team members.
4. Meeting Preparation - Prepare agendas, distribute relevant materials, and set up physical or virtual spaces for smooth and productive meetings.
5. Confidentiality & Discretion - Handle sensitive information securely, classify data appropriately, and adhere to strict privacy and password protection protocols.

Qualification

• Bachelors degree in Management or a related field.
• 2–3 years of experience in a similar role or with similar responsibilities.
• Relevant training or certifications in administrative or executive support preferred.
• Strong organizational and time management skills, with the ability to prioritize tasks effectively.
• Excellent written and verbal communication skills, including professional email etiquette.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant productivity tools.
• High level of discretion and ability to handle confidential information with integrity.
• Willingness to work in Baguio City.
