This is a remote position.

JOB TITLE: Customer Support Officer/ Administrative Assistant

Type: Full Time; 40 hours per week

Rate: $8AUD/hour


An Admin + Customer Support Virtual Assistant (VA) in the immigration/law field supports lawyers, paralegals, and clients by handling administrative tasks and providing front-line customer service.


Responsibilities:

1. Administrative Support

· Manage emails, calendars, and appointments

· Organize and maintain client records and legal documents

· Prepare and format immigration forms (e.g., visa applications, petitions)

· Data entry into CRM or case management systems

· Schedule consultations and follow-ups


2. Customer Support (non-voice)

· Respond to client inquiries via email and chat

· Guide clients on document requirements and next steps

· Handle complaints or concerns professionally

· Ensure a smooth onboarding process for new clients


3. Immigration-Specific Tasks

· Assist in document collection (passports, IDs, proof of funds, etc.)

· Track application deadlines and submission timelines

· Coordinate with clients for missing or incomplete requirements

· Maintain confidentiality of sensitive legal information


Qualifications:


· Background in immigration, legal services, or BPO is a strong advantage

· Experience using tools like: Case management software (Clio, MyCase, etc.)

· Knowledgeable in using Microsoft teams

· Previous experience in a similar role (preferred)

· Excellent written and verbal communication skills

· High attention to detail (very important in legal documents)

· Organized

· Punctual and driven.
