Contract Execution Head

Job Description

The Head of Contract Execution will be responsible for overseeing the entire contract lifecycle, ensuring efficient and compliant execution of all contractual agreements by local and foreign execution team. The position plays a critical role in safeguarding the company’s interests that vendors/suppliers perform per contractual terms. Moreover, eliminate unnecessary costs involve in such as but not limited to logistic operation (, detention, etc).

Your Responsibilities

• Ensure that all local and foreign contract execution teams align with procurement’s established / planned purchase strategy
• Be compliant on government policies of BAI, BPI, BIR and BOC relating to importation of goods
• Secure all documentary requirements for importation and bank payments
• Timely release of imported cargoes and unnecessary charges (, demurrage and detention charges).
• Periodically update and submit import monitoring report with projected costs including demurrage, detention, storage, insurance, fumigation, etc. for all imported materials nationwide
• Update shipment status and delays to buyers and Procurement Director
• Provide updated rates for landed cost estimation of imported material
• Collaborate with Senior Buyer on establishing monthly delivery plan to be shared to cross functional departments for proper planning and execution
• Communicate delivery schedule to respective suppliers basis agreed delivery lead time with proper documentation
• Provide weekly updated delivery plans to internal cross-functional departments for alignment in supply availability vs warehouse space availability.
• Review, assess, and optimize execution plans that will align to established safety stock target.
• Manage and/or escalate to stakeholders to address challenges on supply and prevent risk of production stoppage.
• Continuously improve and streamline execution plans to reduce unnecessary costs
• Periodically monitor and review supplier’s delivery performance and report to Procurement Director
• Monitor, review and reconcile outturn guarantees of 3rd party service providers ensuring compliance to contractual agreement
• Develop and manage network of service providers related to freight charters and cargo handlers.
• Manage relationship with suppliers’ logistic and/or operations team;
• Manage relationship with 3rd party service providers (, cargo handlers, forwarders)
• Collaborate with Senior Buyer and Procurement Director on weekly stock inventory and open positions for all locations.
• Provide monthly summary report on the following:Containerize shipment penalty charges (, demurrage, detention, etc)Insurance claims monitoringCargo Handling penalty charges ()

Your Profile

• Minimum 5 years experience on Importation, Freight and Distribution preferably in agri-business or trade industry.
• Experienced managing Import Processing and local distribution
• Preferably with exposure dealing with Brokers, Government Agencies (BAI, BPI, BOC)
• Self-driven team player with strong communication and interpersonal skills (collaboration across locations and functions; coordination with external and internal stakeholders.
• Preferably with knowledge on ERP
• Advance knowledge of software applications (, Outlook, Teams)
• Analytical Mindset
• Strong Problem Solving Skill
