Operations Coordinator / Administrative Assistant

Overview

We are seeking a highly organized, detail-oriented, and high-performing Operations Coordinator / Administrative Assistant to support our day-to-day operations across accounting, customer service, estimating, and project coordination.

This role is ideal for someone who thrives in a fast-paced environment, can manage multiple priorities independently, and takes pride in accuracy and efficiency.


Key Responsibilities

Financial & Administrative Support

  • Maintain accurate daily entries in QuickBooks, including customer data and invoicing

  • Ensure all financial records are up-to-date and organized

Customer Experience

  • Communicate professionally with clients, builders, and internal teams

  • Manage scheduling and respond to inquiries in a timely manner

Estimating Support

  • Assist with takeoffs using Bluebeam or similar tools

  • Review construction plans and support pricing and estimation processes

Project Coordination

  • Coordinate project schedules for templating and installations

  • Track project progress and ensure timelines are met




Requirements

Qualifications (Required)

  • At least 2+ years of experience in construction or a related industry

  • Hands-on experience with QuickBooks

  • Experience with Bluebeam or similar takeoff software

  • Ability to read and interpret construction plans

  • Strong organizational skills and attention to detail

  • Ability to work independently and manage multiple tasks effectively

Preferred Qualifications

  • Experience in the countertop or stone industry

  • Familiarity with CAD or Alphacam

  • Understanding of job costing and profit margins
