Position : Executive Assistant
Number of hours : 20 hours / week
Schedule : New Jersey Timezone (EST), between 9AM-5PM
Key Responsibilities
Maintain and update the company newsletter to ensure timely and engaging communication.
Provide comprehensive administrative support , including organizing documents and workflows through Google Workspace (Docs, Drive) and managing transactions in bill.com .
Support HR functions by updating manuals, organizing employee records, onboarding new hires, maintaining SOPs, and assisting with payroll by processing invoices in QuickBooks .
Perform basic website updates using Webflow to ensure accurate and up-to-date content.
Manage and coordinate the CEO’s calendar, events, and schedules , ensuring efficiency and accuracy.
Post and schedule content on social media platforms (graphics provided).
Continuously identify and implement process improvements to enhance efficiency, automation, and seamless operations.
Collaborate with cross-functional teams to provide timely support aligned with organizational goals.
Qualifications
Proven experience as an Executive Assistant, Administrative Assistant, or similar role .
Exceptional organizational and time-management skills , with the ability to handle multiple priorities under pressure.
Proficiency in Google Workspace (Docs, Drive) , with working knowledge of bill.com and Mailchimp is a plus.
Hands-on experience with QuickBooks for invoice and payroll support.
Familiarity with Webflow for simple website edits (preferred).
Strong background in HR administration , including onboarding, updating SOPs, and maintaining employee files.
Excellent written and verbal communication skills .
Proactive, detail-oriented, adaptable, and eager to learn.
Experience or familiarity with non-profit organizations is a plus.
