Role Overview :

We’re looking for an Operations & Executive Associate to provide direct support to company leadership while also helping to keep daily operations running smoothly. This role blends executive support (calendar management, communications, scheduling) with operations management (tracking team performance, improving processes, and supporting projects).

You’ll be the go-to person for ensuring priorities move forward, details don’t fall through the cracks, and systems run efficiently. Over time, this role offers the opportunity to take on broader operational responsibilities, including team oversight and performance management .

Core Responsibilities :

Executive & Business Support

  • Manage calendars, coordinate meetings, and draft communications to support leadership in day-to-day priorities.

Team & Performance Monitoring

  • Track performance metrics, prepare reports, and flag issues for management to ensure accountability and consistency across the team.
  • Process & Systems Management

  • Maintain and improve workflows, documentation, and internal tools (Google Suite, Slack, Notion, etc.) to support efficient operations.
  • Onboarding & Administrative Support

  • Assist with onboarding and account setup for new hires as needed, ensuring a smooth start for team members.
  • Operational Flexibility

  • Take on a wide range of administrative and project-based tasks, with the opportunity to grow into broader or more strategic responsibilities as the company expands.
  • Requirements

    Requirements

    Must-Have (Non-Negotiable) :

  • 1–2+ years in an Executive Assistant, Operations, or Business Support role
  • Prior startup experience or direct experience working with a U.S.-based client / team
  • Strong English communication skills (written & verbal) — professional, concise, and reliable in representing leadership
  • E xcellent organizational skills and attention to detail , able to manage multiple priorities without errors
  • Proactive, self-starter mindset with the ability to anticipate needs and take initiative in a fast-moving environment
  • A demonstrated track record of stability — ideally with at least one longer-term role (vs. multiple short stints)
  • Nice-to-Have (Negotiable) :

  • Experience supporting or managing a team (quality control, reporting, performance tracking)
  • Tech-savvy and comfortable learning new tools quickly (Google Suite, Notion, Slack, Airtable, etc.)
  • A background in healthcare or adjacent fields
