Virtual Administrative Assistant
Overview
We are seeking a highly skilled Virtual Administrative Assistant who can support daily operations, streamline workflows, and help maintain smooth coordination across platforms and administrative functions. The ideal candidate is detail oriented, tech savvy, and experienced in automations, data management, and broad administrative support.
Key Responsibilities
Automation and Integration
- Build and manage workflow automations using Zapier.
- Set up and maintain integrations between Agency Block CRM and Employee Navigator.
- Monitor and improve data sync processes to ensure accuracy and efficiency across platforms.
Platform Management
Use Agency Block CRM and Employee Navigator to manage client and employee data.Take ownership of tasks related to Employee Navigator and support ongoing platform requirements.Forms and Document Workflow
Create templates for contracts and forms that automatically populate with CRM data.Set up signature workflows through Adobe Sign or recommend and implement improved solutions.Spreadsheet and Data Work
Build and manage spreadsheets for insurance plan comparison.Perform data entry, organization, and basic analysis as needed.Administrative Support
Collaborate with the existing Administrative Assistant on back office and data entry tasks.Provide support for cross functional administrative duties as required.Email and Calendar Management
Manage inboxes, schedule appointments, and coordinate calendars.Organize meetings, follow ups, and reminders to support team productivity.Qualifications
Experience with Zapier automations and system integrations.Comfortable working within CRMs and HR platforms, especially Agency Block and Employee Navigator.Proficient in spreadsheet creation and data handling.Organized, proactive, and able to manage multiple priorities.Strong communication and time management skills.
