We are looking for a self-starter, highly organized, and resourceful Chief of Staff to serve as the primary partner to the President. In this role, you will operate at the intersection of strategy and operations, acting as a trusted advisor and "air traffic controller" to drive clarity, execution, and momentum.
You will function at tactical, personal, strategic, and operational levels, often overseeing projects that do not fit neatly within the organizational chart or that fall between different departments. The ideal candidate possesses a "founder’s mindset" - equally comfortable drafting board-level strategy as they are managing complex global travel and administrative logistics.
This role is designed to expand the President's reach and impact. You succeed when the President is focused on the highest-value activities, the leadership team is aligned, and the "unowned" projects are moving forward toward successful completion.
Key Responsibilities :
Strategic Leadership & Initiative Oversight
Liaison & Ambassador : Serve as the primary liaison for strategic initiatives between the President and the leadership team, ensuring alignment with corporate objectives and fostering cross-functional collaboration.
End-to-End Tracking : Track the flow of relationships, projects, or initiatives from end-to-end, ensuring no detail is lost in transition between departments.
Cross-Functional Orchestration : Manage projects that fall between traditional leadership areas of responsibility, navigating complexity to drive results where formal structure may be lacking.
Private Business & External Venture Support
Venture Oversight : Provide high-level operational support for the President’s private business interests and external ventures, ensuring these projects move forward in parallel with corporate duties.
Non-Profit Management : Assist in overseeing the non-profit organization, helping to manage initiatives, track impact, coordinate with board members, and ensure the organization’s mission is being executed effectively.
Resource Coordination : Act as the point of contact for stakeholders, vendors, and partners associated with the President’s private portfolio.
Strategic Integration : Manage the intersection of the President’s professional and private schedules, ensuring seamless transitions and dedicated focus across all business commitments.
Executive Operations & Communication
Decision Optimization : Proactively spot opportunities, streamline workflows, and optimize executive decision-making processes.
Content Creation : Prepare, edit, and proofread executive-level reports, Salesforce data, and high-stakes presentations and external stakeholders with a focus on accuracy and professionalism. Prepare the President for customer meetings, investor updates, and speaking engagements.
Correspondence Management : Read, respond to, and organize the President’s email, ensuring timely and professional communication with clients, vendors, and partners.
Tactical & Administrative Execution
Complex Logistics : Manage multiple schedules and complex calendars. Arrange international travel across multiple time zones, keeping personal preferences and executive productivity in mind.
Administrative Ownership : Execute all necessary tasks to keep the office running, from managing expense reports (Brex / Workday / Concur) and tracking budgets to handling the small "little things" that ensure a smooth workday.
Event Planning : Plan and execute events, town halls, and offsite meetings. Bring creative, "outside the box" ideas to these gatherings to drive team energy and culture.
Experience & Qualifications
5+ years of experience as an Executive Assistant or Chief of Staff to C-suite executives, consistently demonstrating strong ownership and accountability.
Tech Proficiency : Advanced skills in Google Suite, Excel, PowerPoint, Salesforce, and Mac OS. Experience with Concur and Workday is highly preferred.
Global Coordination : Proven experience with heavy international coordination and collaborating with distributed teams across multiple time zones.
Availability : Willingness to work US time zones and occasional nights / weekends to meet the needs.
