Job Description

This is an exciting opportunity to join a dynamic performing arts organization as their Virtual Administrative Assistant. In this role, you’ll be the backbone of their administrative operations, managing crucial communication channels, coordinating international travel arrangements, and maintaining financial records. This position offers the perfect blend of administrative expertise and creative industry exposure, with potential for growth and expanded responsibilities. Working remotely, you’ll have the opportunity to directly impact the business’s efficiency while supporting passionate educators in their mission to spread the joy of performing arts.

Responsibilities

  • Manage and optimize multiple communication channels including email, messenger, and social media platforms
  • Draft and coordinate professional responses to incoming inquiries and communications
  • Handle travel logistics including flight bookings and itinerary management
  • Perform essential bookkeeping duties using Wave Apps and r eceipts sorting , ensuring accurate financial record-keeping
  • Maintain organized documentation systems for year-end financial processing
  • Adding appointment and dance classes in the client's schedule
  • Coordinate and streamline administrative workflows to improve operational efficiency
  • Support basic social media content management and creation (including e diting videos )
  • Provide regular updates and reports on administrative activities
  • Requirements

  • Excellent written English communication skills
  • Proven experience in inbox management and digital communication platforms
  • Experience working with AI like Chat GPT
  • Demonstrated ability in basic bookkeeping and financial record-keeping
  • Proficiency with digital tools and modern software applications
  • Experience with travel booking systems and coordination
  • Familiarity with Wave Apps or similar accounting software (preferred)
  • Strong organizational skills and attention to detail
  • Ability to work independently and manage multiple priorities
  • Professional demeanor and excellent time management skills
  • Reliable internet connection and dedicated workspace
  • Availability during Eastern Time (EST / EDT) business hours
  • Experience in basic video editing, highly preferred.

    Requirements
