The Clinical Coordinator plays a vital role in ensuring the quality, accuracy, and compliance of our clinical services. This role oversees our OT team (currently two full-time OTs and one part-time counselor) and coordinates the intake, scheduling, and reporting processes.
The Clinical Coordinator is responsible for improving the standard of clinical reporting, managing client enquiries, onboarding, scheduling, and ensuring smooth and compliant service delivery. The Clinical Coordinator reports to the CEO but is expected to work independently, with daily communication with both the CEO and clinical practitioners
What You’ll Do
- Clinical Reporting : Review, edit, and improve high-quality clinical reports (e.g., Functional Capacity Assessments), ensuring clarity, structure, and evidence-based content.
- Quality Assurance : Provide feedback to clinicians, refine assessments, and maintain clinical templates, tools, and style guides.
- Client Intake & Onboarding : Manage client enquiries, scope services, prepare quotes, complete service agreements, and ensure regulatory compliance.
- Scheduling & Support : Coordinate practitioner schedules, manage appointments, and support clinicians with logistics, equipment trials, and ongoing therapy clients.
- Data & Systems Management : Maintain accurate client data, monitor AI reporting tools, and improve digital templates and forms.
- Stakeholder Communication : Respond promptly to enquiries, provide regular service updates, and liaise with external providers and stakeholders.
- Workplace Health & Safety : Promote WHS compliance, identify risks, and uphold NDIS Practice Standards and internal policies.
- Team & Business Support : Support business development, participate in leadership meetings, and carry out additional duties as required.

Experience
Minimum 3 years’ experience as Clinical Coordinator (or similar role) or Allied Health professional.Demonstrated experience preparing and reviewing detailed clinical reports.Knowledge of NDIS compliance and processes, or proven ability to understand and meet compliance requirements is a plusExperience in client intake, onboarding, or scheduling preferred.Exceptional written English, with the ability to edit and improve lengthy reports.Strong verbal communication and interpersonal skills.Benefits
