This is a remote position.

Job Highlights

Contract : Independent Contractor

Schedule : 40 hours per week; Australian business hours from 8 AM to 5 PM with 1 hour unpaid break

Client Timezone : Australian Time Zones (operations across Western Australia, Victoria, South Australia, Queensland, and New South Wales)

Responsibilities

Accounts Payable and Receivable

  • Process accounts payable invoices and update the weekly cashflow report.
  • Generate client invoices in line with contract terms and follow up on outstanding payments using standard email templates.
  • Maintain accurate and timely processing of accounts to support cashflow management.

Payroll and Employee Management

Process bi-monthly payroll runs for all permanent and casual staff, ensuring approvals are obtained as per policy.

Handle new employee setup, pay changes, commencements, and termination calculations.

Administer novated leases – setup with suppliers, manage monthly payments, perform annual reconciliations, and update payroll deductions.

Review and approve employee expense reimbursements, including checks for Fringe Benefits Tax (FBT) compliance.

Manage pay increases, bonuses, and other payroll adjustments as directed.

Oversee timesheet submissions and ensure all staff complete and approve timesheets weekly and at month-end.

Maintain accurate payroll documentation and records for auditing purposes.

Financial Accounting

Prepare quarterly BAS (Business Activity Statement) workpapers and assist in tax compliance reporting.

Manage and maintain the company’s fixed asset register and depreciation schedules.

Execute month-end close activities, including posting journals for depreciation, leave accruals, and revenue adjustments.

Update accrued revenue calculations for lump-sum projects and assist with reconciliations.

Prepare and review balance sheet reconciliations for assigned accounts (e.g., AR, AP, fixed assets, provisions, PAYG, super, and wages payable).

Perform daily banking, matching receipts and payments.

Project Administration

Set up new customers and projects in NetSuite and SharePoint.

Allocate staff and billing rates to projects, create and maintain project tasks, and manage updates for variations and extensions.

Ensure proper project closure by verifying outstanding timesheets, unbilled hours, and expense claims.

Other Responsibilities

Respond to finance and payroll-related queries from internal staff and external stakeholders.

Support ad hoc finance and reporting requests from the Head of Finance and operational teams.

Update and maintain finance process documentation as required when systems or procedures change.

Contribute to continuous improvement of financial processes and data integrity in NetSuite.

Requirements

Bachelor’s degree in Accounting, Finance, or a related field (CA / CPA qualification preferred).

Minimum 2 years of experience in a similar finance or accounting role.

Proven understanding of Australian payroll, taxation, and compliance requirements.

Experience preparing BAS work papers and managing GST reporting.

Familiarity with cloud-based accounting systems (NetSuite highly desirable).

Excellent attention to detail and accuracy in financial data.

Strong written and verbal communication skills in English.

Ability to meet tight deadlines and manage multiple priorities effectively.

Proactive and collaborative approach, with strong problem-solving and organizational skills.
