About the Role
We are seeking a high-performing Operations Manager to lead day-to-day business functions across administration, finance, HR, compliance, and client operations. This is a senior-level role requiring strategic oversight, autonomy, and a proactive mindset. The ideal candidate is resilient, confident, and thrives in fast-paced, high-growth environments. You will work closely with senior leadership and play a key role in driving operational excellence, client satisfaction, and continuous improvement.
You must bring strong bookkeeping and invoicing experience, excellent organizational skills, and the ability to handle both high-level planning and hands-on execution. You''ll also be expected to build scalable systems, lead internal processes, and be the engine that ensures the business runs smoothly.
Responsibilities
- Operations & Strategy : Oversee daily operations across admin, HR, finance, compliance, and client support functions.
- Develop and refine operational strategies, systems, and frameworks that improve productivity and accountability.
- Ensure legal, financial, and regulatory compliance across the business.
- Proactively identify inefficiencies and implement process improvements.
- Support senior leadership in strategic decision-making and planning.
- Oversee all bookkeeping activities including invoicing, reconciliations, accounts payable / receivable, and payroll (using Xero).
- Develop and manage budgets, forecasts, and financial reports.
- Ensure the accuracy of financial data and compliance with audit standards.
HR & People Management
Build and implement internal HR systems and policies.Support recruitment, onboarding, performance management, and training processes.Foster a positive, high-performance team culture aligned with company values.Client & Stakeholder Management
Serve as a primary point of contact for key stakeholders, including high-value clients and suppliers.Coordinate client communications and ensure service standards are met.Manage relationships with external vendors and contractors.Administration & Executive Support
Own and manage calendars, meetings, documentation, and reporting for leadership.Prepare business reports, presentations, and data for operational and strategic use.Handle ad hoc tasks with discretion and initiative.Competencies and Qualifications
Must-Have
5+ years of experience in operations management or a senior administrative leadership role.1-3 years of bookkeeping / accounting experienceProficient with Xero or similar softwareStrong written and verbal communication skills.Highly organized with a bias for action and problem-solving.Demonstrated ability to work independently, take ownership, and deliver resultsComfortable in a high-growth and fast-paced work culture.Can balance strategic thinking with operational execution.Able to handle pressure, take feedback constructively, and bounce back quickly.Has a mindset of continuous improvement and ownership.Nice-to-Have
