This is a remote position.

Work Schedule : Monday to Friday 8 : 00am to 5 : 00pm Sydney Time with 1 hour unpaid break.

Join a thriving residential construction company in Queensland, Australia as their Business Support Specialist, where you’ll play a pivotal role in streamlining operations and supporting business growth. This is an exciting opportunity to work directly with the business owner and operations manager, taking ownership of critical estimating processes that drive new business while managing day-to-day administrative functions that keep projects running smoothly. You’ll be working with BuildExact software and modern construction management systems, making this role perfect for someone who wants to combine technical construction knowledge with business operations. This position offers significant growth potential as you’ll be instrumental in helping the business scale to the next level while developing comprehensive SOPs and systems.

Responsibilities :

  • Read and interpret construction plans to develop accurate Bills of Quantities (BOQs)
  • Prepare and distribute comprehensive tender packages to subcontractors and suppliers within 48-72 hours of receiving plans
  • Compile, compare, and manage incoming quotes and proposals from trades and suppliers
  • Action and follow up on RFIs from trades to ensure estimate accuracy and completeness
  • Assist in finalizing estimates for presentation and contract signatures
  • Support the operations manager by managing weekly client progress updates during both preliminary and construction phases
  • Follow up with subcontractors to confirm schedules, material requirements, and supply deliveries
  • Respond to general client and supplier email inquiries within 24 hours, escalating complex issues as needed
  • Compile and prepare all required documents and information prior to each project stage completion
  • Maintain accurate compliance records and audit trails for all projects
  • Maintain accurate job costing processes to track project profitability in real-time
  • Track project costs against initial estimates throughout the project lifecycle, identifying variances
  • Assist bookkeeper by ensuring all supplier invoices are properly coded and entered against specific jobs
  • Support operations manager with generating client progress payment invoices using BuildExact
  • Generate and send invoices for completed project stages with appropriate client communication
  • Update project schedules and site diary information based on field progress
  • Communicate project updates to clients using photos and information from site diaries
  • Coordinate with on-site teams to maintain accurate project status in BuildExact
  • Create and maintain Standard Operating Procedures (SOPs) for all processes touched
  • Develop templates for supplier management and quote comparisons
  • Document and refine existing workflows within BuildExact for best practices
  • Create checklists for pre-construction compliance throughout project lifecycles

Scopes :

  • Primary focus on estimating and tender management (approximately 60% of role)
  • Secondary focus on supporting operations manager with administrative tasks (approximately 30% of role)
  • Tertiary focus on client communication and project coordination (approximately 10% of role)
  • Work directly with business owner on estimating processes and business owner’s second-in-command for this function
  • Serve as operations manager’s primary support person, acting as her second-in-command for administrative functions
  • Manage 3-4 preliminary estimates that are currently backlogged and need immediate attention
  • Handle multiple active construction projects requiring ongoing coordination and invoicing
  • Create comprehensive SOP library starting from estimation processes through project completion
  • Work within BuildExact ecosystem including dashboard management, site diary updates, scheduling, and purchase order coordination
  • Support business scaling objectives by reducing bottlenecks in estimation and administrative processes
  • Reduce business owner’s time spent on preliminary estimates by at least 50%
  • Ensure 100% document readiness at all project stage gates to eliminate delays
  • Maintain zero discrepancies between budgeted and actual project costs through accurate tracking
  • Requirements

  • Proven experience in construction estimating, preferably in residential building
  • Strong ability to read and interpret construction plans and technical drawings
  • Experience with construction management software (BuildExact preferred, but other programs acceptable if data can be imported)
  • Solid understanding of construction processes, materials, and subcontractor coordination
  • Excellent communication skills for client and supplier interactions
  • Strong organizational skills with attention to detail for compliance and documentation
  • Ability to work independently while maintaining regular communication with team
  • Experience with job costing and project financial tracking
  • Proficiency in creating and following systematic processes and procedures
  • Understanding of Australian construction industry practices and compliance requirements
  • Ability to manage multiple projects simultaneously while meeting deadlines

    Requirements
