Position : Part-Time Production Coordinator
Working Hours : Monday to Friday, 20 hours per week (PST / MST overlap). Specific hours may follow standard 9 : 00 AM–5 : 00 PM. This role may transition to full-time based on business needs and performance.
Salary Range : $500 – $1000 USD / month (Final offer depends on client approval and overall assessment of candidate skills and experience)
About the job :
We’re looking for a highly organized and proactive Production Coordinator to support our Production and Content team. This role is ideal for someone who enjoys working behind the scenes, keeping projects on track, and supporting creative teams across multiple productions.
You’ll work closely with the Directors of Production and the Chief Content Officer to help coordinate schedules, manage communications, maintain project databases, and support publishing workflows. Your work will help ensure productions run smoothly and assets are delivered accurately and on time.
Duties and Responsibilities :
Production Coordination & Team Support
- Provide administrative and coordination support to the Directors of Production
- Attend client meetings as needed to take notes and send follow-up communications
- Manage the production inbox and respond or route requests appropriately
- Support general production team needs across multiple projects
- Provide coverage when Production Managers are out of office
Project & Workflow Management
Ensure episodes are published according to schedule for assigned showsAssist in quality assurance to ensure audio / video assets and metadata meet platform standardsSupport special projects and research initiatives as neededSubmit staffing requests for high-priority showsFile & Database Organization
Upload and organize media files within client databasesMaintain organized Google Drive and Dropbox folder structuresEnsure Airtable records are up to date with project information and milestonesTrack show accolades and production detailsNew Project Setup & Wrap
Create project folders across Google Drive, Airtable, and DropboxSet up project records and templates for kickoff decks and production schedulesSupport website updates for new projectsComplete project wrap tasks at project completionScheduling & Logistics
Coordinate guest scheduling for high-priority showsSchedule client meetings and recurring project syncsResearch and book recording studios as neededOrder host and guest kits for productionsPrepare and distribute guest release waivers via DocuSignMinimum Qualifications and Experience
1+ year of experience in a production, coordination, or administrative support role (media, entertainment, or creative environments preferred)Strong organizational skills with the ability to manage multiple projects and deadlines simultaneouslyExperience managing schedules, calendars, and production communicationsProficiency with Google Workspace (Docs, Sheets, Slides, Drive)Experience using at least one project management or database tool (e.g., Airtable, Monday.com, Asana, or similar)Experience organizing files and maintaining shared folder structures in cloud-based storage (Google Drive, Dropbox, or similar)Clear written and verbal communication skills, including drafting professional emailsHigh attention to detail and ability to follow established workflows and templatesAbility to work independently, stay proactive, and support a fast-paced production teamDesired Characteristics
