  • Preferred working hours : 9 : 00 AM – 5 : 00 PM EST (US)
  • Alternative option : 7 : 00 AM – 3 : 00 PM EST (US) (negotiable).

Overview

We are seeking a Mandarin-speaking Receptionist / Virtual Assistant to support our accounting firm with client communication, clerical duties, and administrative assistance. This role requires strong communication skills in Mandarin and English, attention to detail, and the ability to handle both repetitive and one-off tasks with professionalism.

Key Responsibilities

  • Make outgoing calls to clients for reminders, clarifications, and document gathering.
  • Handle incoming calls : route messages, answer basic questions, and serve as a client point of contact.
  • Make one-off calls to convey information on behalf of the firm.
  • Assist the management team with one-off and recurring tasks.
  • Perform clerical / data-entry tasks, including gathering and organizing client information.
  • Support payables and assist with making payments.
  • Manage workload that fluctuates during monthly due dates and tax season.
  • Balance phone-based work (approx. 50%) with email, clerical, and admin tasks (approx. 50%).
  • Requirements

  • Proven experience in administrative support, reception, or customer service.
  • Fluency in Mandarin and English (verbal and written).
  • Detail-oriented, accuracy-driven, and highly organized.
  • Professional, stable, and mature personality suited to a professional accounting environment.
  • Ability to work independently, problem-solve, and adapt to fluctuating workloads.
  • Comfortable handling repetitive tasks while also being proactive with one-off projects.
  • Understanding of financial or accounting workflows is a plus.
