This is a remote position.
We’re seeking a strategic Executive Assistant who can bring structure, clarity, and anticipation to the CEO’s day-to-day operations — transforming complexity into focus and helping the organization move forward with intention and efficiency.
About the Role
As the Executive Assistant, you’ll serve as the right hand to the CEO — managing their calendar, communications, and priorities to ensure time and energy are spent on leadership and strategy, not logistics. This is not a reactive admin role; we’re looking for a proactive partner who can think ahead, stay two steps in front, and help translate big goals into daily action.
Requirements
Role Understanding & Priorities
Email & Communication Management
Manage and organize the CEO’s inbox — triage, prioritize, and draft responses to ensure timely communication.
Maintain a professional and consistent tone in all correspondence while ensuring confidentiality.
Track pending messages, follow-ups, and key threads to prevent missed communications.
Identify and flag urgent or high-impact matters requiring the CEO’s attention.
Coordinate internal and external communications using Microsoft Outlook and Teams with expert proficiency.
Administrative & Executive Support
Manage the CEO’s complex calendar, including scheduling meetings, protecting focus time, and blending work and personal commitments.
Prepare meeting materials, agendas, and follow-up summaries to ensure alignment on deliverables.
Support quarterly and weekly planning rhythms — translating company goals into structured weekly priorities.
Maintain organized digital records, planner updates, and accountability trackers.
Assist in preparing reports, presentations, and meeting summaries (including EOS materials).
Handle confidential and sensitive information with the highest level of discretion and professionalism.
Operations & Coordination
Coordinate across departments (Sales, Operations, Finance, HR) to streamline leadership activities and ensure alignment.
Track action items, meeting follow-ups, and project milestones to support execution.
Assist in organizing leadership off-sites, quarterly planning sessions, and company events.
Arrange travel logistics — flights, hotels, transportation, and full itineraries for business and occasional personal travel.
Support ongoing operational improvement by recommending and implementing process efficiencies.
Qualifications
Bachelor’s degree in Business Administration, Management, or a related field.
At least 3 years of experience as an Executive Assistant, Administrative Officer, or in a similar role.
Excellent written and verbal communication skills.
Strong organizational skills and attention to detail.
Proficient in Microsoft Office 365 (Outlook, Teams, Planner, Word, Excel, PowerPoint).
Ability to handle confidential matters and work independently under minimal supervision.
Experience working with leadership or executive-level stakeholders is an advantage.
