This is a remote position.

Schedule :

  • Monday to Friday from 8 : 30 AM to 5 : 30 PM with 1 hour unpaid break
  • 40 hours per week
  • Client Timezone : Australian Eastern Time (Sydney)

Scope :

  • Full-time position (40 hours per week)
  • Hybrid role combining approximately 60% executive assistant duties and 40% bookkeeping tasks
  • Direct reporting to the Principal of the law firm
  • Potential for role expansion as the firm grows (3-4 team members projected)
  • Long-term position with growth opportunities within the organization
  • Australian time zone alignment required for client and Principal communication
  • Responsibilities :

  • Manage calendar scheduling and coordination
  • Handle inbox management and email correspondence
  • Prepare and send out engagement letters to clients
  • Respond to client queries and provide administrative support
  • Perform general bookkeeping duties and financial record maintenance
  • Handle trust account bookkeeping (if specialized in this area)
  • Provide comprehensive administrative support to the Principal
  • Assist with day-to-day office operations and client communications
  • Requirements

  • Experience in executive assistant or administrative support roles for at least 4 years
  • Bookkeeping experience and knowledge of accounting principles
  • Strong communication skills, both written and verbal
  • Familiarity with legal industry practices (preferred)
  • Experience with trust account management (highly desirable)
  • Proficiency in Microsoft Office suite
  • Ability to work independently and manage multiple tasks
  • Professional demeanor for client interactions
