Legal Operations Administrator

In this role, you will provide support to the Manager, Global Law Department Operations in the administrative maintenance, implementation, enhancement, and review of various functional matters. The role will begin with guidance and direction, transitioning to greater independence and reduced supervision as experience and proficiency develop.

In This Role, Your Responsibilities Will Be :

Support financial / e-billing activities : open new matters within Legal’s e-billing system, onboard new vendors, follow up with local finance teams to confirm payment status, update system criteria to streamline the overall invoice process

Assist with law firm / vendor management : guide relations with third parties used by the Legal function and maintain the list of approved law firms while overseeing rates, arrangements, and billing compliance in accordance with guidelines

Collect external spend data to support with cost analysis activities

Review procedures and generate reports to address deficiencies in applicable programs

Maintain various global legal distribution lists

Provide support with organizing team meetings, conferences and trainings

Perform projects as assigned by the applicable Legal team, including focused legal research

Obtain and distribute documents for the applicable Legal team

Manage support resources to ensure that all applicable systems are monitored and performing as expected, escalating issues where necessary

Organize files and general work processes to maximize the efficiency and productivity of the Global Legal Ops Department

Advance strategic improvement opportunities and other tasks as assigned

• Advanced MS Office skills
• Excellent oral and written English language skills
