This is a remote position.
This role is responsible for the administrative and operational oversight of projects, with a focus on supporting field technicians. The key duties include reviewing and approving reports , monitoring project progress , and ensuring all documentation is accurate and up-to-date. The ideal candidate has strong organizational skills, is proficient in Excel and OneDrive , and can manage multiple priorities. Experience in the engineering or construction industry is a plus.
Key Responsibilities (Summary) :
Review, validate, and approve technician reports; close out com pleted work orders.
Monitor dispatches, follow up with technicians, and confirm submissions.
Submit and reconcile reports to ensure timely project closeout.
Maintain accurate documentation across Excel, Elmtree, and other tools.
Requirements
Experience in operations coordination / project administration (engineering / construction preferred, but not required).
Strong organizational skills, attention to detail, and ability to manage multiple priorities.
Proficiency in Excel, OneDrive, and project tracking tools (Elmtree a plus).
Effective communication and follow-up skills with internal teams and technicians.

Role Overview : This VA will support sales and marketing by managing inbound leads, driving outbound prospecting, coordinating appointments, and maintaining an organized, high-performing sales pipeline in HubSpot. The focus is on maximizing voice-to-voice connections to generate meetings and closed deals. Key Responsibilities : Inbound Lead Management & Qualification Respond promptly to inbound leads (calls, forms, emails) within 1 business day Pre-qualify leads by collecting relevant project information before setting appointments Manage follow-ups to nurture leads through the sales funnel Outbound Prospecting & Pipeline Support Build targeted prospect lists using OA scraping tools Upload and segment data accurately in HubSpot Launch and manage outbound cold outreach campaigns via calls, email, and SMS to generate meeting interest AI Support (Preferred) Use design tools (Canva, RoomSketcher, AI platforms) to create basic project visuals Collaborate with internal teams to refine and present visuals Scheduling & Coordination Use Calendly to schedule discovery calls, on-site visits, and meetings with SMEs and leadership Optimize booking slots and manage calendar efficiently Daily Sales Activity Achieve daily targets for outbound calls, emails, and SMS follow-ups Prioritize voice interactions to build rapport and move deals forward KPI Reporting Track and report weekly KPIs including leads added, outreach activity, meetings booked, inbound leads handled, and closed opportunities Provide regular sales performance reports to leadership Candidate Profile : Fluent, professional spoken English (required) Experience with HubSpot and Calendly (required) 2+ years of inside sales experience, including cold calling and inbound lead handling Organized, detail-oriented, strong communicator Familiarity with AI design tools (preferred but not required) Self-starter focused on achieving results
