We are seeking a proactive and dependable Recruitment Coordinator to support our team and clients. While recruitment or workforce administration experience is ideal, we’re also open to candidates with a Customer Service background, preferably with international exposure. Success in this role comes down to attitude — being adaptable, detail-oriented, and committed to delivering excellent support to both clients and candidates.

Rostering & Workforce Coordination
Manage and update weekly and monthly rosters in line with client requirements.Monitor and update staff availability trackers to ensure optimal shift coverage.Action client requests promptly, including roster changes, cancellations, and additional staffing needs.Distribute confirmed rosters to clients daily and provide weekly follow-ups to confirm upcoming workforce requirements.Anticipate potential shortages and proactively source or reallocate staff to ensure client coverage.Client & Candidate Communication
Act as the primary point of contact for staff regarding shift allocations, payroll queries, and system access issues.Provide timely communication to candidates about bookings, shifts, and compliance requirements.Build and maintain strong relationships with clients, ensuring service expectations are met or exceeded.Regularly check in with clients to anticipate staffing needs and resolve issues quickly.Recruitment Process & Compliance
Source, screen, and shortlist candidates via job boards, referrals, and databases.Conduct phone interviews, reference checks, and compliance verification (VEVO, licenses, certifications).Collect, verify, and maintain candidate documentation to ensure compliance with client and legislative requirements.Prepare candidate profiles, onboarding packs, and induction materials.Coordinate and confirm interviews, site tours, and client meetings.Maintain accurate and up-to-date candidate records within the Applicant Tracking System (ATS).Assist with preparing for client audits by ensuring compliance records are complete and accurate.Team & Operational Support
Support the Recruitment Team Leader / Manager by providing workforce updates and reports.Collaborate with colleagues to meet urgent client requirements and manage peak workload periods.Suggest process improvements to enhance efficiency and candidate experience.Contribute to a positive team environment by assisting junior team members when requiredWhat We're Looking For :
Bachelor’s degree in Business Administration, Human Resources, Psychology, Behavioural Science, or a related field.Min. 6 months experience in customer service, recruitment coordination, workforce administration, or a similar role within HR, staffing, or outsourcing.Background across key recruitment activities such as sourcing, screening, compliance checks, and onboarding, a plus.Strong organisational and time management skills with the ability to manage multiple priorities and meet deadlines.Confident communicator, able to coordinate effectively with candidates, staff, and clients — including stakeholders based in Australia.Proficient with MS Office (Word, Excel, Outlook) and comfortable using Applicant Tracking Systems (ATS) and rostering / workforce management tools (training will be provided).High attention to detail, accuracy, and compliance, particularly when handling rosters, staff records, and candidate documentation.Demonstrates a strong work ethic — diligent, proactive, committed, and willing to continuously learn.Adaptable and collaborative team player, able to step in and support colleagues during high-demand periods.
