This is a remote position.

Schedule :

  • Fridays - 2 : 00 pm to 11 : 00 pm CST (with 1-hour lunch break)
  • Saturdays - 6 : 30 pm to 11 : 00 pm CST (with 30-minute break)
  • Sundays - 2 : 00 pm to 11 : 00 pm CST (with 1-hour lunch break) as needed
  • Mondays - 2 : 00 pm to 11 : 00 pm CST (with 1-hour lunch break)
  • Tuesdays - 2 : 00 pm to 11 : 00 pm CST (with 1-hour lunch break)
  • Wednesdays and Thursdays - Day Off
  • Client Timezone : CST (Central Standard Time)

Job Description :

Take on an integral role in a dynamic healthcare environment where your contributions directly impact the quality of care delivery. As a Virtual Care Coordinator, you’ll serve as the essential link between caregivers and clients during critical weekend hours, ensuring seamless service delivery and maintaining the highest standards of care coordination. This position offers the unique opportunity to work remotely while making a meaningful difference in healthcare delivery, utilizing modern technology and systems to orchestrate vital care services.

Summary :

The Caregiver Scheduling Coordinator is responsible for managing the day-to-day scheduling of Caregivers to ensure client jobs are efficiently filled. This role involves proficiency in WellSky or ClearCare, excellent communication skills, and the ability to manage multiple tasks simultaneously. Additionally, the Scheduling Coordinator will assist with duties, Human Resources Coordination, Care Management, Clerical work, general Virtual Assistant tasks, including invoicing, payroll management, tracking various KPI’s and maintaining accurate records.

Key Responsibilities :

  • Scheduling : Coordinate and schedule open client jobs by assigning the most appropriate Caregiver to each task.
  • Database & Reporting : Maintain the scheduling and reporting system, ensuring accuracy and timely follow-up on late Caregivers.
  • On-Call Rotation : Participate in an after-hour on-call phone rotation once every 3-4 weeks.
  • Additional Duties : Perform other tasks as assigned, including handling office communications and administrative support.
  • Requirements

  • Experience : Minimum of one year in an office, customer service, or similar setting. Experience in the healthcare or service industry is preferred.
  • Scheduling & Software : Proficiency in scheduling, particularly using specialized software for caregiver schedules.( WellSky or ClearCare). Will train to use WellSky.
  • Computer Skills : Basic knowledge of computer operations, including data entry, word processing, and expertise in Excel or other relevant tools.
  • Communication :   Excellent verbal and written communication skills, with a professional demeanor both on the phone and in person. You must answer phone calls in 2-3 rings and should be ready to join video calls anytime during the scheduled work hours without any prior notice. Experience in intake phone calls, cold calling and sales calls is preferred.
  • Organizational Skills : Strong organizational abilities, attention to detail, and the capacity to prioritize tasks effectively.
  • Multitasking : Proven ability to manage multiple tasks and responsibilities efficiently.
  • Flexibility : Ability to work evenings, weekends, and on-call shifts as required.
  • Dependability : Must demonstrate reliability, proactive, self-driven, and a positive, "go-getter" attitude.
  • Adaptability : Willingness to learn new software and processes as needed.
  • Essential Skills :

  • Medical experience is not required, but it is considered a plus.
  • Expertise in Excel and other Microsoft Office tools.
  • Strong multitasking abilities and attention to detail.
  • Independent work ethic with efficient time management.
  • Exceptional communication skills in English, both written and spoken.
