Job Scope
Responsible for assisting the HR Manager with all HR and administration across the Group of companies to help attract, hire and retain employees and ensure an efficient and organised service is provided to line management and employees. Assist with office management duties.
Recruitment
- Assist the HR Manager to source skilled and experienced employees through different methods to provide a continuous comprehensive pool of candidates for manpower requirements.
- Assist with the recruitment process to help ensure all vacancies are filled as per requirements. Coordinate communication with candidates and schedule interviews with relevant parties in the company.
- Coordinate and compile pre-employment requirements of successful applicants. Assist with the induction process for new employees.
- Arrange, in collaboration with the HR Manager, a session with employees after one month in the company to discuss any issues and share feedback.
- Maintain a probation period table in order to follow up with line managers to check if employees have passed their probation period.
- Employee files : Ensure all employee files are up to date and contain all necessary documentation including but not limited to : CVs, past employment references, work permits if required, medical certificates, qualifications and training certificates, personal information, ID, employment contracts, insurance, induction forms, computer property forms, job descriptions, exit questionnaires.
- Payroll Assist with payroll as and when required.
Performance Appraisal
Assist the HR Manager in the rollout and follow up of the performance appraisal process and ensure all appraisal interviews take place and appraisal forms completed in a timely manner.Training and Development Assist the HR Manager in ensuring the company training matrix and training plan are regularly maintained and updated.Close out outstanding training in a timely manner by liaising with external training centres as required or liaising with internal employees nominated to conduct in-house training.Ensure training evaluation forms are filled out in a timely manner.General
Prepare reports as required relating to personnel activities.Ensure medical certificates are always in date. Ensure any insurance is always renewed in a timely manner.Ensure timely renewals of fixed term contracts as appropriate.Help deal with employee requests regarding HR issues, rules, procedures.Manage employee rotation schedules in / out of their countries of operations and arrange travel such as booking flights, hire cars, hotels.Arrange visas as required.Check and approve expense reports and invoices.Assist the HR Manager with sickness absence, grievance and disciplinary issues as required.Ensure time sheets are filled out when required.Assist the HR Manager in the development of the HR section in the in-house web-based tool.Prepare Purchase Orders in the tool when required.Qualifications :
Minimum of 5 years of HR experienceMust come from the maritime industryBachelor's degree in any courseExcellent communication skillsWork schedule : Day Shift
