Position Summary :
This position supports the Vertiv Services - North America Subcontractor Management team by coordinating non-standard service Request for Quotes (RFQ) / Request for Proposal (RFP) for Third Party Power, Battery, Professional Services, Generator and Cooling. Contracts from Suppliers and Service Partners. Coordinator will receive request via e-mail and CPQ from Sales, Sourcing Managers, Battery Sales Representatives, and other Vertiv Services associates. Position will determine appropriate Service Partners to include in RFQ / RFP, request quote / proposal, negotiate competitive costs, log results, and supply feedback to requestor. Coordinator is also responsible for maintaining a database of NSSR results, providing analysis of results to Sourcing Managers, Marketing, and Sales. The coordinator is also responsible in creating PO for vendor for the quoted service.

Knowledge :
System Knowledge : Proficient in using CPQ (Configure, Price, Quote) system to input list prices for non-standard quote requests. Knowledge of Smartsheet to maintain databases and evaluate quote validity.Product and Service Understanding : Understanding of the various service segments, including Third-Party Power, Professional Services, Generator, Cooling, and Battery Replacement services, and how to accurately quote these services.Tool Utilization : Familiarity with various tools to determine the right service partners for RFQs (Request for Quotation), and to verify if the quoted costs align with historical pricing and market expectations.Communication with Service Partners : Ability to coordinate effectively with internal teams (Sales Managers, Sourcing Managers, Battery Technicians) and external service partners to ensure accurate service specifications and requirements are conveyed.Vendor and Invoice Management : Knowledge of how to create Purchase Orders (PO), handle vendor setup, manage invoice disputes, and process vendor account modifications through systems like DataZen.Complexity :
Quote Management : Handling multiple, non-standard quote requests for various services and ensuring timely and accurate processing. This includes understanding the scope of work and the technical details involved in creating a quote for specific services.Cross-functional Coordination : Coordinating across several teams (Sales, Sourcing, Battery Technicians, Vendors) to gather and communicate the necessary details for an accurate quote. This requires a high level of communication and collaboration to ensure all parties are aligned.Cost Analysis and Negotiation : Analyzing historical quote data to ensure the quoted cost is reasonable. Engaging in cost reduction or negotiation discussions with service partners to secure the most competitive quote for the company.Vendor Relations and Dispute Resolution : Handling vendor disputes, particularly when there are discrepancies between vendor quotes and invoices. This involves evaluating the validity of these discrepancies and working with vendors to resolve issues.Performance Tracking and Reporting : Monitoring and reporting Key Performance Indicators (KPIs) to track operational performance and provide updates for management. This requires data analysis and attention to detail.Ad-Hoc Tasks : Handling additional or unexpected requests that arise (ADHOCs), showing flexibility and the ability to prioritize different tasks when needed .Supervision :
Task Monitoring and Execution : While the role may not involve direct supervision of people, it does require overseeing the workflow for quote requests, vendor management, and operational reporting. The role involves ensuring all tasks (quote requests, vendor negotiations, invoice reviews) are completed on time and according to the requirements .Vendor and Partner Management : Assists in managing relationships with service partners, vendors, and internal teams. This requires ensuring service delivery aligns with quoted services and communicating any updates or changes as necessary.Backup Responsibilities : Acts as a backup for processing new vendor setups and vendor account modifications. This requires a sense of responsibility to ensure these tasks are completed even in the absence of the primary person responsible.
QUALIFICATIONS
Education and Certification : Bachelor’s degree in business or supply chain or SalesJob Experience :
Basic knowledge of UPS / Power, DC Power, Generator and Cooling products a plus.Basic understanding of Vertiv Services business model and service offerings.Ability to understand and communicate non-standard customer expectations to subcontractors.Knowledge of business-to-business aftermarket service industry is a plus, especially high-techKnowledge of US geography.Communication Skills : Being able to communicate progress, ask for clarification when necessary, and report results, even when working independently.Technical Skills : Proficiency in order entry software, such as Excel, Smartsheet, Oracle, Word, PowerPoint and alikeExceptional time management : Ability to prioritize tasks efficiently, ensuring deadlines are met without compromising quality.Organizational Skills : Well-organized and able to manage multiple tasks simultaneously.
