Summary
The Jungle Busters role is for a highly proactive Executive Assistant who can effectively run day to day
priorities for Paul. The focus is on organization, time management, and acting as a gatekeeper to help
Paul stay focused. The role is not technical and does not require a bookkeeping background, but it does
require strong administrative skills, good Excel knowledge, and the ability to manage light reconciliations.
This role is similar in nature to a senior EA who can confidently prioritize tasks, set boundaries, and
manage communications.
Job Overview
The Executive Assistant will provide high-level administrative and operational support to the Director and senior leadership team. This role requires strong judgment, confidentiality, and the ability to manage priorities independently in a dynamic service-based environment.
The ideal candidate is proactive, detail-oriented, and confident in supporting day-to-day executive, operational, and client-related activities.
Key Responsibility
Executive & Administrative Support
- Manage Paul’s calendar and daily priorities
- Act as a gatekeeper by filtering requests and managing interruptions
- Provide daily check ins to align on priorities, deadlines, and urgent matters
- Handle light administrative work including basic reconciliations
- Maintain structure and organization across tasks and communications
- Support Paul with focus, follow ups, and accountability
- Provide end-to-end executive support to the Director and senior management
- Manage complex calendars, appointments, and travel arrangements (AU time zones)
- Prepare agendas, minutes, reports, and presentations for internal and external meetings
- Act as a key liaison between executives, internal teams, contractors, and external partners
- Handle confidential and sensitive information with discretion
Operations & Business Support
Assist in coordinating operational schedules, field team activities, and internal workflowsSupport documentation related to operations, compliance, and internal processesTrack action items, deadlines, and follow-ups to ensure timely executionAssist in maintaining SOPs, internal records, and business documentationCommunication & Coordination
Draft and manage professional email correspondence on behalf of executivesHandle inbound inquiries and prioritize communications appropriatelyCoordinate with finance, operations, and customer service teams as neededReporting & Systems
Prepare regular reports, summaries, and dashboards as requestedMaintain accurate digital filing systems and recordsUse CRM, scheduling, and internal systems to support operational efficiencyAd Hoc & Executive Support Tasks
Provide flexible support for ad hoc administrative, operational, and project-based tasks as required by the Director and leadership teamAssist with special projects, one-off initiatives, and time-sensitive requestsStep in to support business needs during peak periods, absences, or operational changesRequirements
Minimum 4 years’ experience as an Executive Assistant, Senior EA, or similar roleExperience supporting senior leaders in a service-based or operations-driven businessExposure to Australian clients or AU business operations is highly advantageousExceptional organizational, time management, and multitasking skillsStrong written and verbal English communication skillsHigh attention to detail with the ability to work independentlyProfessional, proactive, and solution-oriented mindsetStrong judgment and ability to handle sensitive matters confidentiallyProficient in Google Workspace and / or Microsoft OfficeExperience with scheduling tools, CRMs, and project management systemsIdeal Candidate
