Job description

Position : Executive Assistant to Founder

Work Hours (Client) : must overlap at least 2 hours / day with SG / NY timezones; Initially part-time (15-20 hrs / wk) potentially scaling to full-time

Holidays : TBD

Pay Range : $1000 USD / month  (varies based on skill set and experience level)

Location of Search : Philippines, South Africa

Work Location : REMOTE

Duties and Responsibilities :

We’re looking for a proactive, highly organized Executive Assistant to support our founder in managing her calendar, inbox, ops, and creative chaos. You’ll work closely with Michelle to streamline her day, protect her time, and free her up to focus on growth and client impact.

This role starts part-time but has strong potential to grow into a larger position as trust and systems are built.

Admin & Inbox

  • Triage and reply to emails on behalf of the founder
  • Manage scheduling, calendar invites, and meeting prep
  • Prepare daily and weekly to-do summaries or meeting agendas

Light Ops & Finance

  • Track recurring subscriptions and operational costs
  • Support basic finance admin (upload docs for accountant)
  • Manage logistics for travel or events when needed
  • Team & Task Management

  • Upload and organize client docs into Notion portals
  • Help maintain Notion trackers (e.g. lead tracker, swipe files, project deadlines)
  • Flag team or client follow-ups that need attention
  • Systems & Support

  • Spot inefficiencies and propose systems or automations
  • Maintain SOP library (turn Looms into SOPs)
  • Support founder on light marketing tasks like content scheduling or DM follow-ups
  • Minimum Requirements :

    Language requirement : Excellent English Communication Skills (accent is fine)

    Education : Bachelor's Degree (ideally)

    Experience : 3+ years of related experience

    You’re Right for This If You :

  • Have experience supporting a founder, solopreneur, or small team (at least 3-5 years)
  • Have bookkeeping experience is required
  • Are detail-oriented, resourceful, and quick to take initiative
  • Write clearly and confidently — including replying on someone else’s behalf
  • Love building systems and bringing order to chaos
  • Are tech-savvy with tools like Notion, Gmail, GDrive, Slack, Xero, Zapier, Hubspot
  • Bonus Points If You :

  • Know Dan Martell’s EA system
  • Understand marketing workflows or content repurposing
  • Have used ManyChat, Make.com, or light automation tools
