Key Responsibilities :
The team coordinator will provide quality and timely day-to-day administrative support to ensure smooth team operations and to enable the Partnership Leader-Communications and global communications leaders to thrive in their roles.
The candidate will bring a strong understanding of processes and systems and a desire to increase efficiency and cohesive team operations. Coordinating team meetings, facilitating travel and events, overseeing knowledge management, and providing clear and compelling communications will help create a well-functioning team.
The successful candidate will require superior time management and self-management skills to provide appropriate support to multiple leaders in multiple locations, while maintaining an appropriate work / life balance.
Coordination Support
- Perform complex and diverse executive assistant duties that involve high-level contacts and exposure to sensitive information, necessitating considerable use of tact, diplomacy, direction, and judgment for four senior directors.
- Maintain and control confidential files and records related to the administration of people and culture documentation for the global centre communications team.
- As needed act as a liaison and support the calendaring of meetings, establishing agendas and facilitating minutes and report backs on meetings between global directors and their key partnership contacts (includes communications directors in all support offices, regional communications directors and senior executives in Grant Acquisition and Management, Marketing, GTD, People and Culture, Advocacy and External Engagement, Shared Services).
- Make routine operational decisions related to enabling the functioning and collaboration of global directors.
- Carry out additional responsibilities and projects as assigned by the senior directors. While this job description is intended to be an accurate reflection of the duties involved in this position, WVI reserves the right to add, remove, or alter duties when business needs dictate.
- Work closely with the team project manager to ensure visibility of key projects and initiatives for senior leaders.
- Attend and participate in the leadership of weekly devotions.
Managing international travel and events
Scheduling of regular and ad-hoc team and external meetings.Arranging agendas, pre-reads, presentations, notes, and actions taken, and effectively communicated.Culture Building
Providing warm and respectful communications to diverse stakeholders.Enabling a team learning culture through efficient knowledge management.Informing staff through helpful, relevant, and interesting communications.Connecting individual staff members in multiple countries with fun team updates and celebrations.Contribute to Global Marketing and Communications engagement efforts that build team unity, collaboration, and trust.5+ years of experience in a senior administrative support role.Appropriate post-secondary certificate or degree (business or similar).Proficient with computer and Microsoft Office applications.Excellent communication and interpersonal skills.Able to handle executive matters confidentially and with maturity.Good English level : written and spoken.Flexibility to travel up to 10% of the time.Very proactive and good at working in a virtual setting.
