This small, collaborative team is seeking a full-time Payroll Specialist & Bookkeeper to provide the efficiency and attention-to-detail that makes BKA’s services exceptional.This role will take the lead on 15-25 client accounts. When we say “take the lead” we mean that BKA bookkeepers can independently :Answer all client emails and questions. If unable to answer a client’s questions, they seek out a Team BKA expert for the answer, then follow up with team members and clients to ensure client needs are metProactively provide checklists of required documents and deadlines for client useSuggest strategies to simplify bookkeeping and accounting systems for Team BKA and our clientsThrive and adapt as clients grow and their systems and processes changeManage their own time and assigned projects to meet all deadlines and compliance requirementsFollow up with clients and fellow team members regarding open projects and deadlinesMaintain their knowledge of US tax and payroll requirements and can evaluate all client records for accuracyAnnually
Coordinate with payroll team for 1099 and W2 reporting, including collecting W9s and receiving client authorizationCoordinate with tax team for business and personal tax filings, including collecting documents and assisting with closing entriesMonthly
Gather all client bank statementsReconcile all client accountsSend invoices for client accounts receivable servicesSchedule bill payments for client accounts payable services. Ensure clients approve paymentsSend monthly reports to clientsSend monthly Missing Information Requests (MIR) to clientsFollow all Quality Control (QC) procedures, including a monthly 1–2-hour QC call with account manager via ZoomAttend monthly 2-hour team training sessions via Zoom at 9 AM – 11 AM CSTBi-weekly
Pull timesheets and process payrollCollect employee documents, receipts, etc. for reimbursementSend payroll registers to clients for approvalEnsure payroll software accurately pays taxes and salaries. Schedule any additional cash transactions to retirement accounts, insurance premiums, and other employee benefitsWeekly / Daily
Answer all client and BKA team communicationsUpdate project management software with progress reportsEnter client transactions via Keeper, a client management tool, and Quickbooks Online (QBO)Attend weekly 30-min team huddle sessions on Tuesday mornings at 9 AM CSTAs needed
Coordinate with tax specialist to set client salariesEmail clients updates and questions regarding their accountsCollect contracts and documents regarding client new hires, accounts receivable, etc. Ensure client employees are set up correctly in payroll system.Ensure client vendors and customers are set up correctly in QBO and payment systemsOnboard new payroll clientsClean up client accounts as assignedOther duties as assignedSchedule : 11PM to 7AM Philippine Time

Tech Requirements :
