The Operations Supervisor takes responsibility for overall supervision of warehouse operations by planning, organizing, controlling, and directing the day-to-day activities by implementing quality, productivity, and customer service standards that is aligned to company vision, mission, and direction to ensure that efficient and quality service is sustained.

Key Tasks and Responsibilities

WAREHOUSE MANAGEMENT

Plan and supervise the overall warehouse operations activity such as unloading, receiving, staging and orderly stacking / storage of items in accordance with the quality policy and adhere with define SOPs of the company.

Oversee and ensure the completion and accuracy of all inbound operations from receiving of goods up to the shelving and system update is done on-time and within agreed TAT and accurately

Oversee and ensure the completion and accuracy of all outbound operations from receiving of goods up to the shelving and system update is done on-time and within agreed TAT.

Review system location accuracy, warehouse capacity and create necessary reconciliation and corrective action as required for all variances and discrepancies identified.

Organizing and maintaining warehouse space allocation and utilization up to standard to ensure maximum output

Ensure a pro-active thorough and complete warehouse search is carried out upon the reporting of missing items.

Oversee the completion and accuracy of all warehouse inbound / outbound documentation. This includes access, regular operations receiving, customer delivery receiving and all for shelving and all other inbound-related activity and in-turn and out-turns reports

Responsible for cross-communication between departments.

Oversee the completion and accuracy of all relevant details being entered into the RSSQL system as the shipments are received and shelved.

Direct the daily housekeeping and ensure to maintain a clean; neat, and orderly work area; ensure all security policies and procedures are followed across the warehouse grounds

Ensure the efficient and safe operation of all materials handling equipment

WORKFLOW AND PROCESS

Work closely with the Branch Origin and Destination Services Team(s) and ensure a seamless delivery of service to each customer

Understand and observe Crown’s published workflow practices related to :

RSMobile use and RSQQL System

Storage Management

Reviews and updates policies, procedures, guidelines and work instructions through strategic planning and cascades to the team accordingly to create a more efficient fulfillment system

Plan warehouse layouts to maximize inventory controls, facility layout, facility flow, process flow and related data analysis

Evaluate, design and propose warehouse solutions in support of new and existing business

ADMINISTRATIVE FUNCTIONS

Prepares / proposes warehouse operations policies and procedures for improvements.

Formulate / revise KPI measurements that is aligned with company policies and SOP’s

Prepares monthly KPI reports. o Analyses KPI performance, formulates and implements action plans, if necessary.

Drives continuous improvement within and across sections by participating in cross- functional project teams.

Conduct root-cause-analysis and create and implement corrective and preventive action plan

Schedules work to be done beyond normal reporting time and ensure that overtime is properly monitored.

Reports safety violation and potential hazard in support of the safety initiatives.

Maintain and supervise warehouse cost control

QUALITY AWARENESS

Must be the expert on their regular warehouse operational process.

Closely coordinates with other sections on issues affecting inventory accuracy and stock quality.

Ensures that root cause of any existing and / or problem, or deviation, non-conformities happened on a day-to-day operation, internal quality audit, Client quality audit etc. are properly identified and with appropriate corrective / preventive actions recommended

Verifies effectiveness of the implemented approved corrective and preventive action plan if any.

Ensure that quality policy in warehouse storage handling is being implement and followed.

Ensure the company complies with all regulatory body requirements.

This includes :

Occupational Health & Safety, monitor the workplace to eliminate, isolate or minimize hazards.

Pro-actively report and Investigate all safety related incident / accidents.

Provide high quality customer service.

PEOPLE AND PERFORMANCE MANAGEMENT

Provides overall management and leadership to the team.

Monitors and evaluates the performance of team against set targets and KPIs.

Contributes to an environment that is conducive to the pursuit of work excellence by providing the team with performance goals and directions with an emphasis on continuous improvement.

Plan work schedules and assign duties to maintain adequate staff to efficiently and effectively complete all unloading and shelving movement of goods received within all areas (access, regular inbound, customer delivery receiving and storage). This will be accomplished with assistance from each assign-personnel.

Liaise daily with Operations Manager(s) re manpower requirements for the following day.

Assist Operations Manager(s) in the planning / prioritizing of all store work.

Supply assistance where needed for the timely completion of all duties.

Ensure all warehouse staff are aware of and observe Crown’s published procedures and House Rules.

OTHER

Ensures proper filing system of all pertinent records and its maintenance based on the required retention period.

Performs other duties and responsibilities as assigned by Management from time to time.

Work closely with Operations Management to ensure continuous improvement and Best Practice in all aspects of the warehouse operation.

Maintain a watching brief over warehouse maintenance inclusive of housekeeping, reporting of building faults, and damage to the facility (roller doors, roof, walls, etc.)

Ensure that all required maintenance checks on forklifts and other store equipment is completed as per company compliances and Health & Safety requirements.

Ensure that accurate records are maintained for both ISO and OSH.

Complete other duties as requested by the Operations / Area Manager.

Ensure all internal audits are up to date.

Demonstrate and promote the company vision and values.

Knowledge of the functionality of warehouse machinery and equipment ie forklifts

Exceptional interpersonal skills and the ability to build collaborative relationships with multiple and diverse stakeholders.

Well-developed administration and organisation skills with strong attention to detail.

Applicable computer skills with experience using Microsoft Office including Word, Excel.

Strong verbal and written communication and presentation skills.

Cultural sensitivity and awareness. Qualifications

Over 5 years experience in logistics and / or warehousing.
