This is a remote position.

Job Highlights :

  • Contract type : Independent Contractor

Schedule :   6 : 00 AM to 3 : 00 PM Sydney time, with 1 hour unpaid break daily

Client Timezone :   AEST

Responsibilities

Procurement Support

  • Raise and process purchase orders in line with internal requests and established approval workflows.
  • Maintain up-to-date supplier and product information in procurement systems (e.g., Odoo).
  • Monitor order confirmations, lead times, and delivery schedules to ensure they meet operational requirements.
  • Manage backorders, track outstanding deliveries, and communicate updates to relevant internal teams.
  • Assist with requests for quotations (RFQs), contract tracking, and procurement-related documentation.

    Logistics and Inventory Coordination

  • Support the tracking and follow-up of shipments and deliveries across multiple sites.
  • Liaise with suppliers, couriers, and warehouse staff to resolve delivery delays, issues, or product discrepancies.
  • Help maintain accurate stock records, including receipts, transfers, and inventory levels.
  • Assist in preparing and managing documentation for incoming and outgoing goods, including freight and customs paperwork as needed.

    Internal Helpdesk Support

    Monitor procurement and logistics helpdesk requests from services and internal departments.

    Provide timely responses and updates to queries, escalating where necessary to ensure swift resolution.

    Administration and Compliance

  • Maintain thorough and accurate records of procurement transactions and supplier communications.
  • Assist in the preparation of procurement reports, expenditure summaries, and audit documentation.
  • Support continuous improvement initiatives by identifying and helping implement process enhancements.
  • Ensure compliance with all procurement and logistics policies and procedures.

    Key Relationships

  • Internal : Procurement & Logistics Manager, Finance Team, Operations Staff, Site Managers.
  • External : Suppliers, freight providers, couriers, customs agents.

    Requirements

    Essential Criteria (Mindset over Experience)

    Strong interest in procurement, logistics, or business operations.

    Excellent organisational skills and a high level of attention to detail.

    Clear and confident written and verbal communication skills.

    Proficiency using Microsoft Office tools (Excel, Outlook, Word).

    Willingness to learn and work with procurement systems (e.g., Odoo or similar ERP platforms).

    Proactive mindset — takes initiative, follows up diligently, and focuses on solutions.

    Ability to effectively manage time and prioritise tasks in a fast-paced environment.

    Desirable (But not Essential)

  • Previous experience in purchasing, inventory, logistics, or administrative roles.
  • Familiarity with ERP or procurement software.
  • Basic understanding of supply chain principles.
